Primary Function

Key Responsibilities

• Support events project team including conferences, exhibitions, virtual events and other ad hoc meetings.
• Running virtual events and webinars, platform set up, speaker liaison, and live stream coordination including chasing speakers recording & webinar materials, designer and editor, prepping speaker onboarding, conduct tech checks and rehearsals, webinar show calling etc.
• Ability to liaise with senior industry stakeholders with effective communication and language.
• Manage exhibitor and sponsor logistics to ensure all sponsor and exhibitor packages are fulfilled as sold by the portfolios, including event floorplan.
• Production and timely communication of correct and detailed technical manuals for exhibitors.
• Manage all speaker requirements (C-Suite / Senior Management level) to ensure that the conference programmes run smoothly.
• Arrange travel and accommodation for staff and speakers within a pre-set budget.
• Respond quickly and calmly to requests from speakers, sponsors, overseas partners and exhibitors pre-event and onsite.
• Manage suppliers and orders for all event signage, AV, venue, catering, printings, sponsored items etc.
• Manage the costs, prepare and report event budgets including raising purchase orders, obtaining final costs and signing off invoices with approval.
• Develop a thorough understanding of health & safety principles and ensuring all parties are in compliance.
• Assist the Operations team with any other ad hoc tasks as required. Includes ad-hoc administration tasks as required by Head of Operations.
• Work as part of a team delivering the operations for medium/ large conferences and Exhibitions.
• Available to travel in APAC.
• Report to Operations Director, and work closely with the Portfolio Directors, Producers, the project team and other Operations team members to seamlessly deliver the event.

YOUR AREA OF RESPONSIBILITY:

· Independently repair and troubleshoot pneumatic, electric, and hydraulic lifting equipment

· Assist with emergency and unscheduled equipment repairs

· Ensure all assigned tasks are completed within the specified timelines

· Perform additional duties as directed by the Service Manager

REQUIREMENTS:

· ITE/Diploma in Mechanical Engineering

· 3–5 years of mechanical engineering experience in the hoist and crane industry (mandatory)

· Ability to independently repair and troubleshoot pneumatic/electric hoists and electric overhead travelling cranes

· Possession of a valid Singapore Class 3 driving license is required

· A proactive, can-do attitude, strong multitasking abilities, self-motivation, commitment to customer satisfaction, and the ability to work both independently and as part of a team

· Candidates with extensive experience may be considered for a supervisor role

Duties of Operations Manager:

• Conduct morning briefings and updates, and the delegation of duties to Team Leaders
• Provide budgetary updates to the Finance Department
• Oversee the timely preparation of monthly schedules, i.e. standby, night service
• Oversee and follow-up on the consolidation of feedback from the respective teams as well as families and clients, reviewing the feedback/ complaints received whenever necessary
• Oversee quality control matters pertaining to standards, rituals and customs
• Improve operational management systems, processes, and best practices
• Oversee the review of standard operating procedures (SOPs), forms, templates and lists to ensure operational efficiency in consultation with Team Leaders
• Plan and review compensation actions, enforcing policies and procedures.
• Oversee morale, welfare and health of all operations staff
• Oversee human resource matters together with Team Leaders, including leave approval, overtime and urgent requests (if any).
• Oversee recruitment and personnel interview
• Other ad-hoc duties as assigned by the Managing Director (MD)

Job Requirements:

• At least 5 years’ operation manager experience, comfortable to work in funeral industry
• Requires to work on weekends and Public Holidays
• Advantageous if candidate possesses Class 3/3A driving license
