Job Purpose

The HR Executive will support the Human Resources department in ensuring smooth HR operations, compliance with statutory requirements, and the development of people strategies aligned with the mission and values of the charity. This role plays a vital part in fostering an inclusive, positive workplace culture while managing the day-to-day HR functions to support the charity’s operational and strategic goals.

Key Responsibilities

1. Recruitment and OnboardingManage end-to-end recruitment processes, including advertising vacancies, screening candidates, scheduling interviews, and conducting reference checks.
   Coordinate onboarding programs to help new hires integrate into the organization seamlessly.
   
2. HR OperationsMaintain accurate and up-to-date employee records, ensuring compliance with confidentiality and data protection laws.
   Prepare HR reports, such as headcount, turnover, and leave utilization.
   Administer payroll inputs, benefits programs, and staff welfare initiatives.
   
3. Performance Management and DevelopmentSupport performance appraisal exercises and maintain training and development records.
   Coordinate employee training programs to enhance skills and build capacity in alignment with the charity’s mission.
   
4. Compliance and PoliciesEnsure compliance with employment laws, regulations, and charity-specific policies.
   Assist in developing and updating HR policies and procedures to reflect statutory and organizational requirements.
   
5. Employee Engagement and CulturePlan and execute employee engagement initiatives to promote morale and retention.
   Provide first-level support for employee relations, addressing concerns and escalating issues when necessary.

Qualifications and Skills

1. Education and ExperienceDiploma or Degree in Human Resource Management or related field.
   2-3 years of HR experience, preferably in a charity, non-profit, or community service setting.

   Proficient in Microsoft Office Suite and HRIS systems.

This role of an admin Executive is responsible for supporting the Managing Director.

Interpreting from English to Japanese and vice versa in the Meeting with Clients.

Booking the hotel, and flight and making the appointment with clients.

Attending the meeting with HQ as translator/Interpreter.

Helping the Payroll with following internal rules.

Helping with issuing Invoices and data entry for payment/receipts.

Dealing with the Auditing if needed and preparing necessary documents.

Possess Bachelor's Degree/Diploma in any field.

At least 3-5 years of admin experience.

Fluent in Japanese (JLPT1 level) in order to liaise with Japanese Counterparts.

Working Experience in the IT industry.

Experience in Handling the acquisition of Visa.

• Responsible and accountable for effectively managing the day-to-day operations / allocated contract sites and staff by providing the highest quality, compliant, and professional security service to its customers
• Conduct security and safety risk assessment surveys of the assignments
• Conduct investigations and vet incident reports submitted by the security team, and prepare and conduct AAR of the incident.
• Overall in charge of the day-to-day operations of security personnel at the allocated sites
• Conduct OJT training for new hires and conduct refresher on SOP
• Handle workplace investigations, grievances, and discipline
• Plan and schedule training for security personnel in alignment with PWM requirement
• Manage and review security procedures
• Handle recruitment and selection of security personnel at the allocated sites
• Proficient in MS Office
• Minimum 2 years of working experience in the Security Industry
• SS & above PLRD licensed
• With a Class 3/Class 3A Driving License

Requirements

Job Description

· Preparation of Tender document, contracts, Bill of Quantities including taking off, Cost comparison, compiled documents for Tenders

· Ensure accurate measurement of quantities to assist in the preparation of progress payment claims, variation order claims and payments to subcontractors and suppliers including all final accounts.

· Attending of tender briefing

· Sourcing and procurement, cost analysis and cost control

· Monthly billing and reporting submission

Job Requirement

· Diploma in Quantity Surveying, Building or Civil Engineering

· Preferably with minimum 2 years of working experience in tendering, estimating and measurement of quantities

· Able to use AutoCAD, Microsoft Excel, Microsoft Word

· Meticulous and good interpersonal skill;

· Able to work independently under minimum supervision

Handle full spectrum of Human Resource function:

• Recruitment & Selection to meet operation staffing needs or company expansion
• Responsible for Full Employee Lifecycle, ie. On-boarding/off-boarding, and maintain proper employee records.
• Handle all work passed related applications, renewal & tracking
• Compensation & Benefits – Payroll administration & processing, CPF, annual leave, medical claims, petty cash, employee appraisal, etc.
• Liaise with government agencies for statutory matters eg. NSmen, Maternity/Childcare leave, Union, etc
• Employees training and development including funding applications.
• Organise company events, staff communications, employee handbook & HR improvement projects
