Job description

The scope of work shall comprise of but shall not be limited to:

Job Description

You will be the co-ordinator of the academic administrative and event support team of NUS College (Academic Affairs). You will ensure that events are run smoothly, as well as to handle academic administrative matters.

Duties and Responsibilities

• Manage academic events such as Commencement Ceremony
• Support Peer Mentor Programme
• Handle classrooms bookings for teaching
• Expected to handle systems, e.g., EduRec
• Assist in processing finance claims from students
• Provide academic support as assigned
• Involved in the planning, coordination and execution of events, including the Asian Undergraduate Symposium (AUS), a college-wide annual event
• Work with other administrative teams in the NUS College on cross-functional and shared duties

Qualifications

Position Summary:

The Senior Accounts Executive will manage comprehensive accounting functions at a managerial level to ensure operational excellence, accuracy in financial reporting, and compliance with regulatory standards. This position demands strategic planning, leadership, and hands-on execution to optimize the company’s financial performance.

Key Responsibilities:

Accounts Management:

1. Advanced Financial Reporting:
   - Prepare, review, and present financial statements, including profit and loss accounts, balance sheets, and cash flow reports.
   - Conduct financial analysis to identify trends, risks, and opportunities to support decision-making at the managerial level.
2. Budgeting and Forecasting:
   - Develop and manage annual budgets in collaboration with senior leadership.
   - Prepare financial forecasts to guide strategic planning and investment decisions.
3. Accounts Payable and Receivable Oversight:
   - Supervise invoicing, collections, and vendor payments to ensure timely processing.
   - Ensure accurate reconciliation of financial transactions and bank statements.
4. Tax and Compliance Management:
   - Ensure accurate tax filings and compliance with local and international financial regulations.
   - Manage relationships with external auditors, tax advisors, and regulatory bodies to ensure audit readiness and compliance.

ROLES & RESPONSIBILITIES:

• Foster a positive safety culture in the workplace, including off-site projects.
• Advocate for safety awareness and ensure that safety practices are embedded in daily operations.
• Encourage employee involvement in safety suggestions, safety committees, and hazard reporting.
• Organize and lead safety meetings to review risks and ensure compliance with safety protocols.
• Actively intervene in unsafe activities and operations to mitigate hazards and protect workers.
• Promote a culture of continuous improvement by identifying areas for safety enhancements and implementing best practices.
• Stay updated on changes in local, national, and international health, safety, and environmental regulations to ensure ongoing compliance.
• Liaise with regulatory bodies to ensure that the organization meets all legal requirements and avoids potential penalties.
• Develop, prepare, and maintain safety manuals that comply with safety regulatory standards, ensuring alignment with the company’s HSE policy and objectives.
• Maintain accurate records of safety activities, training sessions, audits, inspections, and incidents to ensure compliance with legal and regulatory requirements.
• Prepare regular safety performance reports for management, highlighting key metrics and areas for improvement.
• Ensure work sites maintain relevant certifications, such as ISO 14001 (Environmental Management), ISO 45001 (Occupational Health and Safety) and bizSAFE Star.
• Maintain and ensure the correct application of the Safety Management System (SMS) in line with internal, customer, and regulatory requirements.
• Ensure the proper implementation and regular update of safety management systems.
• Conduct regular reviews of the HSE Manual to ensure its effectiveness and adherence to company goals.
• Conduct internal audits and participate in the review of the Safety Management System.
• Prepare for management review meetings to assess the performance of the Safety Management System (SMS), recommend improvements, and ensure alignment with company goals.
• Investigate accidents, near misses, and unsafe activities, identifying root causes and recommending corrective actions.
• Support the investigation and reporting of accidents and incidents at work sites, ensuring timely and accurate documentation.
• Analyze safety data, such as accident reports, incident frequency rates, and near misses, to identify trends and take proactive measures to reduce risks.
• Use data to present recommendations for improving safety measures across the organization.
• Promote environmentally responsible practices, including waste reduction, energy conservation, and resource management, in line with ISO 14001 standards.
• Support site HSE teams in Business Continuity Planning (BCP) to minimize operational disruptions.
• Develop and maintain emergency response plans for various scenarios (fire, chemical spill, natural disaster, etc.), ensuring all employees are trained and prepared.
• Conduct regular drills to evaluate the readiness of staff and the effectiveness of emergency procedures.
• Ensure that all contractors and subcontractors comply with company safety policies and procedures.
• Review contractor safety plans and perform safety audits for external workers on-site.
• Perform regular site inspections for off-site projects, warehouses, and work locations, ensuring compliance with safety standards.

REQUIREMENTS:

• Registered Workplace Safety and Health Officer (WSHO) with MOM (Mandatory).
• Registered Fire Safety Manager (FSM) (preferred).
• Degree or Diploma in Environmental, Health, Safety, or a relevant field.
• Minimum of 5 years of relevant HSE experience, with knowledge of local statutory requirements and HSE standards, preferably within the aviation industry.
• Strong knowledge of Singapore’s environmental, occupational safety, and health regulations, including ISO 45001 and ISO 14001.
• Proficient in MS Office (Word, Excel, PowerPoint, etc.).

What You Will Be Doing

The successful candidate will administer and manage SUSS's academic programmes, support examination activities and take charge of the School's student activities as well as external liaisons.

• Coordinate student recruitment activities, school activities and student interviews
• Support examination and assessment-related matters including liaison with programme/external examiners/associate faculties/supervisors, Head of Programme and Examination Administration Department
• Liaise with course writers and developers on course development matters
• Liaise with external partners associated with the programme(s)
• General administrative duties such as collation of data, preparation of reports, information updates
• Organise events for students, marketing, talks, social and promotional events, etc.
• Manage ad-hoc projects

Job Requirements

• Degree holders with 1-2 years' relevant working experience
• Mature, meticulous and possess high level of discretion and integrity
• Effective interpersonal skills with excellent command of written and spoken English

Job Responsibilities

• Work closely with cross-functional team on executing the sales.
• Communicate pro-actively with customers on execution details such as shipment period, payment etc.
• Prioritise daily tasks and follow up on problem resolution that ensures customer satisfaction.
• Interact with internal/external parties to resolve issues accordingly and respond to the request clearly and concisely within an appropriate time frame.
• Investigate and resolve regular/ad-hoc requests or complaints.
• Process SAP sales order management transactions (create, change, cancel) and corresponding reporting tools.

Job Requirements

• Minimum bachelor’s degree in any field, preferably in logistics/supply chain management.
• Have minimum 2 years of relevant experience.
• Proficient in SAP modules.

Requirements:
