RESPONSIBILITIES

Specific responsibilities for this role include:

• Supporting the running, administration, update, and documentation of Care Corner's IT environment, such as but not limited to, PCs & peripherals, network, Microsoft 365, Azure, Entra, Intune, cloud backup solutions and Salesforce.
• Assisting with the monitoring and follow-up of system resources and alerts, including site availability, vulnerabilities and DNS records, and also Helpdesk tickets & reports.
• Managing projects, such as relocation or upgrade of office networks, and migration of telephony systems.
• Assisting with the research, development, troubleshooting and maintenance of low-code/no-code applications such as Power Automate & PowerBI.
• Assisting with non-technical activities, such as IT sourcing and procurement, vendor management, project and system documentation, user training, policy enforcement, contract, license and subscription management, billing, and IT asset management.
• Undertaking any other technical or non-technical activities that may be required from time to time.

• Tertiary qualification in information technology or equivalent together with relevant experience in network and system administration and support, especially on Microsoft 365 & related applications, and Salesforce.

Responsibilities:

• Process staff payroll, not limited to overtime payment, claims, incentives, allowances and other approved payments. Includes monthly & ad-hoc payroll runs.
• Cross-checks on salary computations to ensure the accuracy of salary pay-out
• Posts payroll transactions into SAP system
• Prepare salary reconciliation reports
• Prepare Payroll Monthly Reports (Overtime Report, Man-hours Report, Payroll Cost Report and Headcount Reports) to various department heads
• Submit CPF, IR8A, IR21, government related submission and other tax related matters for staff
• Work with the Finance Department for monthly and quarterly closing for payroll area
• Liaise with internal and external auditors and/or tax agents on payroll related matters
• Process government related claims such as NS Reservist, Maternity leave, Child Care Leave claims.
• Provide support in staff data creation or other system updates in SAP or Employee Self-Service System
• Provide payroll related data for internal & external reporting (eg. Management Reporting or MOM surveys and questionnaires)
• Review and implement Process Improvements for Payroll related areas
• Respond promptly to employee inquiries and concerns regarding their payroll
• Handle ad-hoc projects as and when requested

Requirements:

• Minimum Bachelor's Degree in any discipline (Human Resource Management preferred)
• Minimum 3 years' working experience in Payroll
• Good working knowledge of manpower regulations e.g. Employment Act, CPF Act & tax regulations
• Good HR knowledge and experience in payroll system and function
• Meticulous with an eye for detail
• Experience in SAP will be an added advantage
• Proficient in Microsoft Office applications, particularly in MS Excel

About the Role:

• Assist with preparing pre-qualification documents for tenders and inquires.
• Register leads/opportunities in Engage and maintain to current status, when required.
• Follow up on quotations/proposals from identified vendors/sub-contractors.
• Working with the operation team and updating the finance file for monthly forecasts of secured contracts and ad hoc opportunities.
• Support the operation team for Ad hoc quotations, review the quotation with Team leaders for customer submissions, follow up with customers for conversion to POs, and collect the work completion DO from Team leaders. Submit the ad hoc BR with the HOD approval and submit admin for invoicing.
• Collect the completed contract PM/ASD service report, review it, and work with the HOD to improve it. Submit the contract BR with the HOD approval and submit admin for invoicing
• Support vendor follow-up quotations for ad hoc jobs and contract renewal.
• Vendor management and maintain the shared booth.
• Overtime review of both contract and ad hoc as per planned BTR (Costing sheet).
• Ops SharePoint management with Team Leaders - contract document, BTR, completed service report, leave planning and standby, Ad hoc status, and Finance forecast and results.
• Manage order processing and collaborate with operations/project teams to ensure smooth execution of newly secured orders

About You:

• Degree in Business Administration, Operations Management, or a related field.
• Prior experience in sales support and operations roles is an advantage.
• Proficiency in preparing pre-qualification documents for tenders and inquiries.
• Familiarity with financial forecasting for secured contracts and ad hoc opportunities.
• Skilled in preparing and reviewing ad hoc quotations with team leaders and submitting customer approvals for invoicing.
• Capable of collecting, reviewing, and improving service reports for contract performance.
• Experience in vendor management and renewal processes.
• Strong attention to detail and organizational skills.
