• Role: Finance Executive
• Department: Finance
• Reporting to: Finance Manager.

Responsibilities:

• Perform day-to-day accounting transactions per charity accounting standards, not limited to General Ledger, Accounts Receivables, Accounts Payables and bank reconciliations.
• Assist in the preparation of monthly/quarterly/yearly financial reports including the preparation of grant claim reports to relevant funding agencies.
• Ensure all accounting transactions are recorded accurately and in accordance with prevailing accounting standards, and company accounting SOPs/policies.
• Assist in annual budget preparation.
• Liaise with bankers, auditors, and other stakeholders on related matters.
• Maintain fixed assets register.
• Maintain donation records using donor management system and crowd funding databases, and prepare tax deductible receipts & letters of appreciation to donors.
• Conduct in-house training on finance policies and processes to staff.
• Any other ad-hoc duties as and when assigned by superior.

Competencies and Requirements:

• Minimally Diploma in Business Management/Accounting.
• At least 3 years of relevant working experience, including full set of accounts.
• Other accounting qualifications or accreditation will be considered.
• Experience in an accounting firm or a large charity is an advantage.
• Familiar with charity related accounting processes and financial governance.
• Able to commence within short notice is highly preferred.

Job Description:

Offering administrative and secretarial assistance to support departmental functions. Arranging and coordinating meetings, including scheduling, organizing agenda, sending invites, booking meeting rooms, setting up required equipment, and taking attendance.

Planning and organising both internal and external events, including venue survey, budget management and reporting, obtaining fee proposals, coordinating between relevant business units and suppliers, arranging transportation, supporting onsite, and preparing an after-event report.

Knowledge in Photoshop and CANVA is mandatory for event poster design.

Assist project manager in tracking and monitoring project timelines, milestones, and deliverables.

Compiling, preparing, and ensuring timely submission of necessary reports. Handle travel arrangements, including flight reservation, hotel accommodation, and visa applications.

Preparing payment request, goods and service acceptance, and acknowledging expenses claims.

PC literate with knowledge in MS Office (e.g. Word, Excel, PowerPoint, Outlook). Knowledge of SAP will be a plus.

Skills / Qualifications:

Minimum 1 year of related experience, preferably in administrative experience.

Good communication and interpersonal skills.

Pleasant composure, cheerful disposition, good phone etiquette and positive working attitude.

Independent and has good initiative.

Able to start work immediately is a plus.

Need to work closely with team in China directly and Mandarin speaking or writing skill is a plus.
