An experienced and mature Accounts Executive with commitment, determination and proven records of working in a busy Finance department providing essential support to the Finance Team. Possessing excellent numerical & data entry skills along with a comprehensive understanding of commercial, administrative and accounting procedures. Having a proven ability to ensure that day to day work is carried out in line the agreed policies and procedures and quality standards.

Job Purpose

The Accounts Executive is responsible in maintaining updated cash book and unpaid Trade Contractor Certificate of Payment Response (TCCP) / invoice log, update invoice receipt into SUN system and all accounts payable functions. The role works closely with other members of the Finance Team, as well as external liaison with Suppliers and Subcontractors.

Key Responsibilities

· Check, verify, and record TCCP into unpaid TCCP log and ensuring they are charged correctly into Projects. Subsequently matching TCCP with invoices received from external suppliers/trade contractors

· Maintain and manage all cash and banking records, logs, spreadsheets, and registers

· Ensure the coordination of the statutory audit of cash, year in year out, and resolve all possible queries

· Preparation and issuance of all payments, cheques, bank transfer, etc.

· Check and verify cash transactions, maintain allowable and reasonable cash float within office

· Post purchase and payment transactions into SUN System

· Reconcile accounts payable balances and resolve invoice discrepancies and issues

· Monthly bank reconciliation and investigate discrepancies

· Monitor unpaid TCCP log and account payable accounts to ensure payments are up to date

· Maintain subcontractor and vendor files in the SUN system, request bank account information and update bank payee master file

· Correspond with vendors and respond to inquiries including payment status

· Update commercial department on TCCP payment status for CVR update

· Prepare trade payable confirmation and reconcile differences for audit

· Assist with month end closing

· Provide supporting documentation for audits

· Accomplishes accounting and organization mission by completing related results as needed

Administrative

• Conduct and evaluate events related due-diligence screening processes to ensure compliance with policies and guidelines.
• Communicate with external parties on required information.
• Monitor the sponsorship and entertainment application for management approval.
• Follow-up the subsequent information to be provided regarding delivery details, payment and attendees.
• Manage the calendar, sponsorship, appointments, and events for Director and senior management.
• Organize and maintain files, records, and databases, ensuring accuracy and confidentiality.

SAP

• Prepare and issue items from SAP for events and Sponsorship.
• Follow-up on delivery status with 3rd parties.
• Manage and upkeep records in accordance with Company’s policies and procedures.

Events, Sales and promotion

• Assist with division’s events and activities with team members.
• Facilitate with the internal and external communications by acting as a liaison between departments.
• Assist with the upkeeping of administrative policies and procedures.
• Monitor product stocks and coordinate with distribution and procurement as needed.

Requirement

• Diploma in Business or relevant disciplines
• 1 to 3 years of working experience, preferably in sponsorship evaluation process experience
• Proficient in time management, planning, and multitasking.
• Good organizational and planning skills, time management, strong communication skills, teamwork, ability to prioritize the critical tasks
• Comfortable with packing of events items at warehouse during events/when required.

ABOUT THE ROLE:

The Property Executive will be responsible to ensure the efficient and smooth operation of all matters relating to M&E and maintenance of the Commercial Property of the Company.

REPORTING LINE:

• General Manager, Property Management

DUTIES AND RESPONSIBILITIES:

• Responsible for effective management and maintenance of a commercial property by planning and executing all M&E activities.
• Plan deployments and preventive maintenance schedules as well as monitor the efficiency, lifespan and warranty periods of equipment.
• Ensure vendors and contractors' work performances comply with company's quality standards, statutory regulations and contract specifications.
• Prepare cost estimates, work specifications, invite quotations, recommendations of award for various repairs and maintenance work
• Execute sourcing and administration of contracted/term services
• Provide technical assistance and advice of the property
• Ensure all building’s M&E defects and breakdowns are attended to expeditiously and recovery time frame is within the KPIs set
• Monitor all defects and ensure follow up and closure by the contractors
• Maintain proper documentation of Tenancy/Contractual agreements
• Responsible for Tenant Management and fitting out/renovation related matters
• Assist in the monthly rental collection and arrears management
• Assist in wet market leasing matters including enquiries from prospective tenants and property agents
• Plan and execute events and promotion of the mall
• Practicing and enforcing the company's procurement policies and procedures.

JOB REQUIREMENTS:

• At least 2 years of relevant experience in industrial/ commercial and facility management
• Possess good practical knowledge in building maintenance with initiative and good analytical skills
• Good teamwork, interpersonal qualities, self-motivated and able to multi-task
• Proficient in Microsoft Office suite of applications
• Good verbal and written communication skills to liaise with all levels of tenants
• Property management experience in a commercial/ industrial/ retail development is a strong advantage

• In charge of full spectrum of Accounts Receivable functions including:
• Timely and accurate billings via Business Central & submission to customer invoice portal
• Preparing cost file, billing reports to support billings
• Review of PO status and limits
• Follow up on overdue payments with Customers & Sales Team.
• Prepare report on collection status for all customers
• Perform monthly aging reconciliation
• Maintaining cash balances
• Timely month end closing for AR
• Any Ad hoc duties assigned by the supervisor

Requirements:

• Liaise with vendors to obtain quotations for analyzers and spare parts.
• Prepare accurate quotations for analyzers, spare parts, and services, ensuring correct freight charges, costs for documentation (COO, COC, material certificates, etc.), Proper commercial terms (lead time, payment terms, markup factors, etc.).
• Submit costing and quotations for approval by the Immediate Superior, Sales Director, or GM.
• Upon received purchase orders (PO), review PO content with Sales Manager, clarify any discrepancies in PO with clients and acknowledge PO upon final confirmation.
• Generate Job Requisition Forms and initiate the Sales Contract Approval Process upon PO receipt.
• Generating Material Requisition Forms for vendor POs.
• Work closely with Procurement team and ensure that delivery as per contractual delivery date.

Accounts Payable

• Process vendors’ payment by verifying invoices, item description, amount, account code and cost center per accounting policies and procedures

Accounts Receivables

• Prepare debit notes, credit notes
• Check bank statement for incoming fund, check against with all supporting and prepare the journals

Payroll

• Prepare monthly payroll

• Prepare IR8A, IR21, and all government related claims such as NS claims, childcare leave, and maternity leave.

Month end closing

• Check and prepare monthly accrual for revenues and expenses
• Perform cash count, deposit to/ withdrawal from bank

• Prepare government statistics survey
• Prepare Balance Sheet Schedules and Tax Schedules
• Liaise with internal and external stakeholders when required such as bankers, tax agents, vendors, government authorities

REQUIREMENTS

• At least 3 years of work experience
• Diploma/Degree or higher
• Proficient in MS Excel, Word PowerPoint and other software; SAP, Mecwise payroll is a plus
