The Volunteer Management Executive/ Senior Executive plays a crucial role in the smooth operation of our Resource Development Department. As the primary administrator, you will be responsible for overseeing administrative tasks, safeguarding vital data and information, and representing the organization as the key liaison for coordinating volunteer sessions with corporate partners.
Your duties will also include assisting the organization in complex events and undertaking ad-hoc tasks as needed, which may occasionally require working outside of standard business hours.
Responsibilities
1. Maintain a secure record of all donation platform credentials
2. Ensure timely updates on Customer Relationship Management (CRM) systems to facilitate data extraction and reporting
3. Manage digital and physical document organization
4. Act as the main point of contact for corporate donors and volunteers
5. Manage end-to-end corporate volunteer sessions, including:
- respond to enquiries on volunteer sessions available with on-going local programmes
- schedule various volunteer programmes’ sessions, and conduct some of them
- data input of corporate information on CRM and update accordingly
- arrange issuance of invoices and receipts
- compile feedback to improve internal processes
- express gratitude to participants with post session thank-you notes
- compile reports for Asia Pacific and International counterparts on a regular basis
Competencies
- A detailed-oriented and efficient multi-tasker who is also organised and resourceful
- Adaptable team player, able to work independently or collaboratively with internal stakeholders
- Excellent interpersonal skills and cultural sensitivity
- Competent in Microsoft Office Suite (Word, PowerPoint, Excel and Outlook) and CRM software (Salesforce); resourceful in search engines
- Effective written communication skills
- Preferably able to speak Mandarin to communicate with Mandarin speaking corporate partners
A successful candidate would be someone who is
- A tertiary graduate with a minimum of two years of volunteer engagement and management experience.

- Not afraid to getting their hands dirty and work on the ground.
