Position Details:

Reporting to the Director, Global Marine Operations, the Operations Support Analyst is responsible for understanding system-based Operations work processes and owning the resolution of any process gaps. The Analyst is expected to resolve transactional process and system issues within the IMOS system, deliver training to voyage coordinators to reinforce processes, refine processes when needed, manage relevant documentation, and work collaboratively with the BI & IT organizations to design, manage, and deliver system-based solutions where appropriate. The Analyst will also act as vacation backup for Voyage Coordinators. The primary internal stakeholders for this role are Marine Operations, Marine Chartering, Freight Services, Marine F&PA, and Commercial Schedulers.

Primary Responsibilities:

• Own and manage all Marine Operations system based work process, most notably IMOS transactional processes. This activity includes understanding both the system and work processes, understanding process/Veslink errors, and recommending permanent fixes.

• Resolve errors related to data submissions to/from external and internal systems designed for Marine operational use (ex. IMOS, Veslink Support, SEDNA)

• Act as substitute/vacation relief for Voyage Coordinators.

• Manage Delivery/Re-delivery process of Time Charter assets.

• Manage and participate in On-Call Incident Response Duty.

• Respond to customer inquiries via phone, email, and other communication channels.

• Prepare and process quotes, and other sales-related paperwork. (Airfreight /

Seafreight / Logistic / CBT).

• Preparing reports on a weekly/or monthly basis.

• Trouble Shooting (Damage Cargo, Billing Issues, etc.) (Airfreight / Seafreight /

Logistic / CBT).

• Coordinate with internal teams such as outdoor sales, operation, finance, and

customer service.

• Work alongside with outdoor sales with generating new business and maintaining

existing customer relationships.

Responsibilities

• ­­Provide administrative support to Business Units and relevant stakeholders.
• Organising internal and external meetings, appointments, events, and/or taking minutes of meetings, etc, within the portfolio of the Business Units. To be responsible for all necessary coordination, communication and exercise discretion of the time needed for such arrangements.
• Prepare monthly reports and consolidation of data for the relevant Business Units.
• Assist in the preparation/collation of email circulars, PowerPoint presentations, etc as and when needed.
• Management of projects which includes liaising and follow up with stakeholders on behalf of the partner he/she reports to.
• Organisation and coordinate projects, meetings and related trainings.
• To monitor and track training hours.
• Coordinating with vendors to assist stakeholders in travel arrangements.

Requirements

• Diploma/degree holder in any field
• Minimum 2-3 years of experience in business support role
• Microsoft Office and good knowledge of PowerPoint presentations or related presentation tools will be highly advantageous.
• Experience in handling travel arrangement will be an added advantage.
• Great team player who works well with all levels of colleagues.
• Excellent oral and written communication skills, with tact and diplomacy.
• Discretion and trustworthiness to handle confidential information.
• Flexible, adaptable, and highly independent.
• Meticulous with good organisational skills and the ability to multitask.

Duration: 12-month agency contract

Salary: Up to S$3,750 per month + 1-month completion bonus upon successful completion of the contract

Location: Changi Airport (100% on-site)

Working Hours:

• Monday to Thursday: 8:30 AM to 6:00 PM
• Friday: 8:30 AM to 5:30 PM

Responsibilities:

• Handle treasury-related administrative tasks, including opening and maintaining bank accounts and internet banking, requesting fixed deposit rates from banks, and preparing slides or email updates for cash portfolio management.
• Prepare reconciliations for carpark collections and refunds.
• Verify audited sales against reports, and follow up with customers to obtain missing reports.
• Manage various administrative duties such as uploading invoices for customers, scheduling meetings, booking meeting rooms, and performing ad hoc tasks as needed.

Requirements:

• Minimum qualifications: O Levels, A Levels, or Diploma.
• Background in Accountancy, Business, or Finance is advantageous.
• Proficient in Microsoft Office, particularly Excel and PowerPoint.

PURPOSE:

As our IT Operations Support Executive, your role is pivotal in ensuring stability, security and performance of our end users across APAC and regional entities. You will collaborate with local and regional technology teams to implement, maintain and optimize endpoint solutions to our staffs. The ideal candidate needs to be highly independent, will possess strong technical acumen, thirst for curiosity and a commitment to deliver quality outputs.

RESPONSIBILITIES & TASKS

• Provide guidance to IT Support Engineers and Helpdesk, working closely to troubleshoot and resolve issues promptly.
• Implement, manage and deploy endpoint solutions to end users in accordance to internal roadmap
• Provide technical support to end user requests and manage user expectations
• Key contributor for supporting Microsoft solutions not limiting to M365 Admin Center (Intune, MDM, SharePoint & Teams)
• Manage relationships with internal business teams and outsources vendors to ensure timely support and resolution of issues.
• Crafting new guidelines, reviewing existing documentations to keep up to date with evolving times.
• Taking lead in service improvements to strive for optimum performance for existing processes and new solutions
• Collaborate with different business departments to support company events and VIP meetings
• Willing to travel and support different office locations within Singapore
• Any other ad hoc tasks assigned by supervisor

To succeed in this role, you will need to possess the following qualifications, skills and experiences:

• 3 or more years of related IT experience
• Degree in Information Technology / Engineering, or relevant qualifications.
• ITIL certified is an added advantage
• Proven experience in a senior engineer or team leader role. Field experience in Microsoft 365 Office Suite, SharePoint, Power Apps, Admin Centre
• Proficient in Active Directory, Exchange, SCCM, Win10 and Win11 OS. (Powershell and Windows scripting is an added advantage)
• Experience in managing internal/external stakeholders and vendors
• Experience in leading a team to support VIPs would be advantageous
• Strong service ethic and great communication skills
• Passionate about delivering quality no matter the scale of the task
• A detail-oriented self-starter, down to earth and open-minded
• Team player, resourceful and able to work independently with ambiguity under tight schedules
