Sales Administration / Support

• Process Customers’ Purchase Orders by raising Customer Order Processing (COP) forms and performing stock reservations.
• To raise and issue purchase requisition of equipment, spare parts, and accessories required for projects and ad-hoc orders and submit for approval.
• Correspond with customers, manufacturers, vendors and suppliers via email/phone for shipment status.
• Responsible for expediting the receivables and deliverables of ordered goods and identifying ordered equipment to prepare material take-off schedule for orders.
• Coordinate, liaise, and work with the Warehouse and Logistics Department to ensure that goods are packed and delivered on time to customers.
• Attend to customer inquiries (via phone/email) for prices and stock positions or customer complaints (e.g., invoice disputes) and ensure necessary actions are taken and followed through.
• Assist Sales Manager(s) / Assistant Sales Manager(s) in drafting proposals and quotations to customers.
• Assist Sales Manager(s) / Assistant Sales Manager(s) collating multiple variations for projects for price negotiation with customer(s).
• Ensure that all filings are in order.
• Perform other ad-hoc duties as assigned by the Head of Sales / Sales Manager(s) / Assistant Sales Manager(s).

Marketing Communication

• Assist Sales Manager(s) / Assistant Sales Manager(s) in organising and/or coordinating events e.g. Trade exhibitions, road shows, new product seminars, etc
• Assist Sales Manager(s) / Assistant Sales Manager(s) in organising and/or coordinating internal events, eg. Dealer meetings.
• Prepare and organise marketing collaterals.
• In charge of maintaining and ensuring the Company’s website content is current and up to date.
• Assist Sales Manager(s) / Assistant Sales Manager(s) to liaise with partners of trade magazines and media agencies.

Requirements:

• Proficient in Microsoft Office applications (Excel, Word, Outlook and PowerPoint).
• Experienced in ERP, preferably NetSuite, will be advantageous.
• Navigation communication product knowledge preferred.

Job Scope

• Be the primary technical contact for customers and in house repair jobs
• Assist customers in the repair and maintenance activities, but also with Providing spare parts and associate services
• Identify and translate customers’ requests ;

Cookery Room / Kitchen (Main Duties):

• Assist in placing order for food and ingredients.
• Assist in receiving and storing food supplies in both kitchens.
• Assist in preparation of ingredients prior to the start of the practical lessons.
• Mop and clean the floors of both kitchens daily to remove oily/greasy stains.
• Assist in the setting up and sorting of kitchen equipment and utensils.
• Assist in maintenance of perishable food supplies and items with expiration dates.
• General maintenance of cleanliness for both kitchens and to prevent accumulation of dust.
• Cleaning the refrigerators in both kitchens periodically
• Wash, dry and keep kitchen equipment and utensils used by teachers for lesson demonstration to students.
• Stow away crockeries and utensils previously left to dry.
• Cleaning of sink and window ledges, storage shelves and cupboards periodically.
• Tidying up the kitchen floors, sinks and centre tables after each practical lesson.
• Machine wash, dry, fold and neatly store dish cloths and tea towels used during practical lessons.
• Final check that safety valves are turned/switched back to neutral positions at the end of the day.
• Maintain neatness of utensils in shelves, cupboards, cabinets and drawers.

Cookery Room / Kitchen Stock-Check Duties:

• Replace broken glassware from stock and be responsible for all equipment used in the teaching of Food & Consumer Education (FCE) / Food & Nutrition Science (NFS) lessons.
• Keep a stock-book and breakage record to indicate necessary item replacement.
• Prepare an inventory stock-list annually for the annual stock-take exercise.

Operations Support Duties:

• To assist in cleaning special rooms and cabinets/cupboards and shelves and instruments/equipment or apparatus as deployed by the Operations Manager
• To help with emergency duties in the movement of resources, tables and chairs and simple logistics as required by the Operations Manager.

• Able to read and converse in Simple English

Working hours

• Mondays to Fridays: 7:30 am to 4:30pm, inclusive of 1hr lunch break
