SAP Support Specialist

Responsibilities:

• Understand the design and configuration requirements of SAP modules to meet the business needs of companies
• Provide L1 and L2 SAP support across FICO/ SD/ MM/ BW/AA modules
• Assist Corporate and Regional finance & Operation business owners in process re-engineering
• Follow up incidents which are L3 until completion
• Understand users’ requirements and escalate with the project team for change request initiatives
• Work with Cross-functional SAP team, non-SAP team, finance and business users within the organization
• Record local requirements and communicate closely with Core IT Team to improve our business process and ERP functions
• Participating in various SAP project, enhancement, roll-outs and post go-live support
• Handle SAP user authorization setup and prepare authorization related audit documentation
• Support SAP related business functions
• Guide junior members of the team
• Conduct user training
• Perform ad-hoc duties assigned by the supervisor

Requirements:

• Minimum Diploma in Computer Science, Engineering or equivalent discipline
• 1-2 years of IT support related to SAP Applications
• Experience in FICO implementation, customization, data migration and cutover activities will be advantageous
• Excellent written and communication skills in both English and Mandarin Chinese (To liaise with Chinese speaking associates)

Responsibilities:

System Administration

• Install, configure, and maintain computer operating systems and services, including Windows, Linux, and macOS
• Monitor system performance, troubleshoot issues, and ensure network, system, and endpoint security

User Helpdesk Support

• Provide end-users remote and onsite technical support, addressing hardware, software, and network issues

Knowledge Sharing

• Configure and manage Microsoft 365 services, including Exchange, SharePoint, OneDrive, and other services
• Implement and maintain Microsoft 365 security measures and policies, including Entra ID, Intune, Purview, Cloud Defender, MFA, and Conditional Access

Security Management

Roles and Responsibilities

Project Coordination:

• Act as a primary point of contact between clients, contractors, and the project team.

• Develop and maintain project schedules, ensuring adherence to timelines and milestones.

• Coordinate site activities and address on-site challenges promptly.

• Organize and participate in project meetings, preparing and sharing minutes of meetings.

• Ensure project documentation, including contracts, permits, and reports, is complete and up-to-date.

Quantity Surveying:

• Conduct cost analysis to identify cost-saving opportunities without compromising quality.

• Prepare and process progress claims, invoices, and variation orders.

• Handle contractual matters, including extensions of time (EOT), disputes, and claims

Procurement & Vendor Management:

•Source, negotiate, and procure materials and services required for the project.

•Liaise with suppliers and contractors to ensure timely delivery of materials.

•Evaluate supplier performance and maintain a database of reliable vendors.

Compliance & Quality Assurance:

•Ensure all work complies with safety, legal, and quality standards.

•Perform site inspections to verify quality and progress.

•Assist in obtaining necessary permits and approvals.

Reporting & Documentation:

•Prepare regular project progress and financial reports for management and stakeholders.

•Maintain accurate and organized project records, including cost and schedule updates.

Safety Compliance Responsibilities

•Ensure all project activities comply with local safety laws, regulations, and standards.

• Be available to work on weekends and public holidays to ensure project continuity & address urgent

• Monitor and supervise night work to maintain quality and safety standards.

• Maintain effective communication with day and night shift teams to ensure seamless handover of

responsibilities.

• Prepare detailed shift reports to track progress and identify potential issues.

• Ensure all work conducted during night shifts and on weekends adheres to safety regulations and local

labor laws.

• Perform periodic safety inspections for night and weekend operations.

• Be on-call to respond to emergencies or unexpected issues during off-hours.

• Coordinate with relevant authorities in case of incidents during public holidays or after regular working

hours.

• Manage and motivate teams working during non-standard hours, ensuring high morale and

productivity.

• Arrange for proper rest and rotational schedules for workers to comply with labor laws.

• Document and report progress, issues, and any incidents occurring during night shifts or off-hours.

• Maintain accurate records of additional hours worked and coordinate approvals for compensation.

Job Responsibilities

Reporting to the Deputy Director, Operations, Planning & System, the candidate will be responsible for the business system of the Patent Search Examination & Analytics (SEA) Unit.

You will:-

• Ensure critical operational system is aligned with business needs to ensure business continuity and operational efficiency of internal and contracted processes.
• Plan and drive IT system upgrades through regular maintenance and system renewal.
• Provide solutions to address process and system issues when they arise.
• Analyse existing systems, business needs and users feedback, identify bottlenecks and implement system changes to improve system performance, user experience and optimise processes.
• Evaluate system data policy and implement system archival process.
• Ensure optimal utilisation of resources and be the go-to person on how data and technology can be used for enhanced performance tracking and transformed processes with automation.
• Review whether internal controls are sufficient and effective to mitigate risks. Lead system studies and innovation projects for adopting emerging technologies for efficiency gains using automation and AI and improving user experience for various functions within unit.
• Support Deputy Director in unit’s planning for budget, capacity projection and performance metrics.
• Undertake ad hoc unit projects assigned.
