Summary

The Business Support Executive is responsible to provide high-quality customer support through processing orders to shipment and delivery of orders. The Executive is also responsible for managing external customers and factories, coordinating with internal colleagues. This role also involves answering calls or emails from customers, participating in meetings with the factories and Sales.

Responsibilities

• Attend to pre-sales enquiries on product availability, lead time and price.
• Initiate and follow up on new item creation/customer creation in the system.
• Customer PO and contract review, including but not limited to the price and cost analysis, contract clause, and credit.
• Ensure price and credit have been approved before entering the ERP system.
• PO operation based on the sales order demand, track with vendors not only the inter-company vendor but the 3rd party about the schedule to meet customer’s demand.
• Daily order tracking & updating to ensure project schedule is under control.
• The shipment arrangement includes getting items from vendor and schedule pickup from customer.
• Follow-up on payment and forwarder details with customers and the factory.
• Review LC draft, prepare and collate documents from various factories for LC presentation.
• Coordinate with related parties on product quality issues.
• Communicate and provide timely responses between customer, sales, operation and factory.
• Generate and update sales order backlog reports to the sales & customer for update.
• Weekly & monthly sales & order forecast collection and summary.
• Support request from management e on reports from management’s request.
• Support manager to monitor the execution process of commercial contracts to conform to the company compliance & policy.
• Any other tasks assigned by manager.

Requirements

• Minimum Diploma or equivalent with experience in Customer Service support for at least 3 years.
• Work experience in import/export business, order fulfilment and management or purchasing function is desired.
• Responsible and reliable with integrity, highly adaptable and a great sense of teamwork.
• Willingness to learn new skills and open to development, willing to work extra hours if required.
• Proficient in Microsoft Office & ERP systems, analytical and sensitive to numbers.

Responsibilities:

• Reviews technical specifications, drawings, procedures, and standards pertaining to project requirements
• Prepares and reviews the project quality documents, procedure, ITP
• Reviews drawings, documents, and weekly update drawing register form documents controller and distribute to project Quality Assurance personnel.
• Administrates the project's internal quality audit to ensure compliance with the project quality plan.
• Monitors the inspection and documentation activities of the Quality Assurance Inspector to ensure compliance with the inspection test plan and project quality requirements
• Resolves quality-related issues arising from subcontractor and in-house production
• Ensures protection and preservation of various systems
• Ensures updates on electrical completion and mechanical completion progress in the project database
• Assigns the systems to be tested by the various supervisors and technicians involved in the operation
• Reviews the quality work processes to enhance efficiency and productivity
• Coordinates the testing and commissioning requirements with Engineering, Project Manager, Quality Assurance Department, and vendors
• Reports non-conformance and issue improvement notes where necessary
• Any other assigned duties and responsibilities

Requirements:

• Degree in Naval Architecture, Marine and Offshore or Electrical Engineering
• Minimum 3 years of relevant experience in Quality Assurance working experience, and the offshore or marine industry

POSITION SUMMARY

• Responsible for the completion of defined processes and procedures to deadline, ensuring accuracy, completeness, and compliance with relevant internal and external standards. Identifies anomalies as they arise and uses judgement based on rules and procedures to resolve. For complex issues, may escalate to senior team members.
• Performs defined procedures and processes with accuracy and completeness. Ensures time commitments and deadlines are met. Processes may include use of manual procedures or local or regional systems. Verifies data and completes procedural checks against predefined processes or criteria to ensure accuracy and quality. Uses appropriate tools and equipment as required. May make decisions relating to procedural checks, including situations where the outcome is not clearly indicated. Seeks support of senior team members as required. Provides feedback on processes and procedures proactively, making recommendations for continuous improvement to senior team members.
• Investigates and resolves problems or exception situations using systems or equipment, as appropriate. Supports team members and other departments during process changes including participating in the development of appropriate Job Aids, procedures & on-the-job training materials. May deliver required training in accordance with defined standards.

Prepares reports as required and may include recommendations for areas of improvement. Inputs data to company systems. Ensures accuracy of own and others’ data and completes checks of system to ensure data integrity is maintained.
• Ensures ongoing compliance with defined FedEx processes and procedures, relevant legislation and external regulations, and predefined agreements. Ensures required approvals are sought throughout processes. Notifies management of any non-compliance issues as they arise.
• Works closely with customer, team including vendor staffs and other departments to ensure accuracy of information and completion of processes to deadline. Also includes contact with customers, vendors or employees, to investigate or resolve issues as required. Aligns and gains commitment to actions from the different stakeholders.
