The job holder shall be the key liaison officer in facilitating Academic Clinical Program – Surgery, SingHealth, Duke-NUS and Duke Durham department/units in academic programs and exchanges.

Job responsibilities

• Coordinator in facilitating DSSO, ACP SingHealth, Duke-NUS and Duke Durham department/units in academic programs and exchanges.
• Where necessary, facilitate cross-collaborations across ACPs, AMEI, AMRI and SingHealth Group Education and SingHealth Academy.
• Provide secretariat support for meetings in support of the above activities, including coordinating the meeting schedules, logistical support, preparation, and circulation of papers/other meeting materials, taking notes, and recording of key decisions, as well as following-up on issues raised at meetings and assisting to coordinate follow-up actions until resolved.
• Assist in planning, project management, implementation, and evaluation of the assigned initiatives/ projects, workgroups, etc.
• Organise engagement sessions with the relevant stakeholders in support of the above activities.
• Any other requests as required by supervisor.

Job requirements:

• Degree, preferably in science, engineering or health sciences.
• Competency in Microsoft Office and data management.
• Familiarity with research, either as an investigator or administrator preferred.
• Strong analytical, communication and interpersonal skills.
• A good team player who is able to work independently.
• Ability to work collaboratively with faculty, students, and administrative staff.

Recruitment & Onboarding:

• Collaborate closely with department heads to understand the skills and competencies required for openings to meet the organizational recruitment demands and needs.
• Proactive in assess and proposing talent sourcing posting adverts or any other relevant channels or methods.
• Select and pre-screen CVs from various sources and submit shortlisted candidates to Hiring Managers after screening candidates through phone/virtual/face to face interviews (if necessary) on a weekly basis.
• Collaborate with Marketing Department for creation of all recruitment materials; eg: recruitment posters, banners, brochures, roadshow standee, video adverts etc
• Manage & administer social media and recruitment platforms for publicity and campaign.
• Attend and source for hiring seminars/talks, campaigns and career fair opportunities to create brand awareness and collaborations.
• Update recruitment reports for all screening, interview and hiring outcomes for recruitment strategies assessment. Including recruitment cost reports.
• Assist in developing and implement HR strategies, requirements and initiatives of the organization aligned with the overall business strategy, in terms of recruitment retention, and succession planning.
• Onboarding and orientation for new hires.
• Collaborate with relevant departments on employee orientation and job induction programs.
• Updating JDs on a regular basis to ensure relevancy and reflecting actual job requirements and duties

Payroll processing:

• Ensure timely processing of monthly payroll, commission calculation and all payroll related process & reports; such as CPF contributions, employee tax filing, manpower cost reports etc
• Attend to employee payroll related enquiries
• Submit relevant government surveys

Assist in:

• Assist in full spectrum of HR, HR projects, initiatives or events as required. Which include but not limited to Compensation & Benefits, Performance Management implementation, Annual Team Building, Staff Dinner, system migrations and implementations etc.
• Guide and train junior department staff
• Support and assist in various ongoing staff engagement programs through effective communication and activities.
• Assist in identifying the gaps in the organization’s HR process and system and propose methods or procedures to improve them.
• Support current and future business needs through the development, engagement, motivation and preservation of human capital.

Any other adhoc duties as assigned

Job Qualifications

• At least 3-5 years of experience in related field. Experience as a Senior Executive would be a plus.
• Bilingual in English & Mandarin (to manage documentations in Chinese language & communicate with mandarin speaking employees)
• Meticulous, organized and attention to details.
• Excellent written and verbal communication skills
• Excellent in Microsoft office especially Excel, well verse in Vlookup, if & sumif functions, pivot tables & charts.
