Wealth Management Executive Officer
Area of responsibility
Administration (Front)
- First point of contact to help with client onboarding.
- Prepare documentation for bank account opening.
- Actively maintain and update client database.
- Monthly recording of AUM for the preparation of fee calculation.
- Liaise with internal (compliance and Finance department) and external parties (custodians, insurance etc) to ensure smooth and timely account servicing & opening.
- Downloading and sending of (i) monthly statements to end clients and (ii) ad hoc statement request by wealth managers.
- Assist with operational issue between banks and Swiss-Asia
- Archive statements electronically and ensure internal sharing and distribution. (Finance department, to managers and clients)
- Assist with order placement and remittance instructions.
- Onboarding of new service provider:
o liaise with legal department,
o assist with due diligence on 3rd party,
o ensure documentation is processed effectively.
- Answer queries from internal & external stakeholders in relation to the work of Wealth Management department
- Assist Compliance with
o the monthly in and out cash transaction check (involves discussing with managers) if there are issues
o the monthly sample check on advisory trades (verification of client pre/post approval) if there are issues.
o the KYC refresher when it is not straight forward
- Liaise with bank to update signatories list.
- Other ad hoc duties/projects assigned by the Team Head.
Reporting and calculation (Back)
- Actively maintain and update commission table.
- Maintaining retrocession statements / approval and ensure internal sharing and distribution (to finance department, to wealth managers)
- Preparation of (i) Management fee, (ii) Performance (iii) CAS fees calculation
- Quarterly
- liaison with fund houses for trailer fees collection & allocation to Wealth Manager.
- liaison with custodians to claim for retrocessions & allocation to Wealth Manager.
- Monthly manual portfolio monitoring on accounts performance.
- Gathering of data for MAS survey.
- Assist with order placement and cash instructions.
- Other ad hoc duties/projects assigned by the Team Head.
Requirements
- University graduate in any discipline.
- With at least 1 year of administrative experiences.
- Strong organizational & prioritization skills.
- Operate with high level of integrity, operational awareness & risk awareness.
- Understanding & have working knowledge of regulatory and control environments that are relevant to the business.
- A mind for confidentiality.
- Service orientated.
- Able to work independently.
- Must be a team player.
- Able to work with MS excel.
