We are seeking a highly organised and proactive Executive Assistant to support our director, VP Operations and Marketing Director. In this dynamic role within a growing SME, the ideal candidate will be a versatile professional who can assist with all outlet leasing renewals, coordinate projects, and handle a wide range of administrative and operational responsibilities. This role requires someone who is adaptable, resourceful, and ready to contribute across multiple business functions.

Key Responsibilities:

Administrative Support

• Manage and prioritise calendars for the Director, scheduling meetings and appointments effectively.
• Handle correspondence, draft emails, and prepare reports, presentations, and other documents as required.
• Maintain confidentiality and handle sensitive information with discretion.

Outlet Leasing Management

• Oversee leasing renewals for company outlets, including communication with landlords and stakeholders.
• Ensure timely submission of renewal documents and compliance with lease agreements.
• Maintain an organised record of all leasing contracts and related documentation.

Project Coordination

• Coordinate and monitor various projects, ensuring deadlines and milestones are met.
• Collaborate with internal teams and external partners to ensure smooth project execution.
• Track project progress and provide regular updates to the Director

Operational Assistance

• Provide support across different business areas as needed, reflecting the dynamic nature of an SME environment.
• Assist with planning and execution of company events, meetings, and initiatives.
• Research and provide recommendations for business process improvements.

General Office Management

• Support daily office operations, including procurement of supplies and maintaining an efficient working environment.
• Ensure timely processing of invoices, reimbursements, and other financial documentation.

Qualifications and Skills

• Bachelor’s degree in Business Administration
• Proven experience as an Executive Assistant or similar role, preferably within an SME.
• Strong organisational skills with the ability to multitask and prioritize effectively.
• Excellent communication and interpersonal skills.
• Proficiency in Google Workspace.
• Attention to detail and a proactive approach to problem-solving.
• Ability to work independently and manage multiple responsibilities in a fast-paced environment.
• Familiarity with leasing processes and contract management is an advantage.

Job Description:

• To assist the MR in controlling and distribution of the IMS (QEHS) manual, QEHS procedures, Standard Work Method and Standards Documents.
• To administer the IMS forms record and maintaining the masterlist.
• To disseminate the internal audit programme to the auditors and coordinate with the auditors for their audit schedule, records of audit results, review and evaluate the audit findings for reporting to MR.
• To liaise with external auditors for annual management/ EHS audits- IMS, BizSAFE, GGBS, CONSASS, etc
• Supports upper management on related EHS and Integrated Management Systems matter
• Plan and organize annual management reviews, prepare inputs; consolidate presentation slides, minutes of meetings, corrective actions and follow-up actions
• Oversees the development and maintenance of an effective Management System which meets ISO 9001, ISO 14001, ISO 45001 standards; updates and reviews IMS manual yearly
• Liaise with external certification bodies, lead and facilitate EHS related audits (ISO certification audit, Green and Gracious Builder Scheme (GGBS) audit, Risk Management, BizSafe STAR);
• To carry out any assignment as directed by the MD / GM / MR.

Job Responsibilities:

1. Prepare and be responsible for end-to-end processing of the full set of accounts, inclusive of Accounts Payable / Accounts Receivables / General Ledger transactions & reconciliations.

2. Check invoices, billings, and expense claims with their related supporting documents and ensure accounting policies and procedures are followed.

3. Prepare payment vouchers, reconcile bank balances, and record and upload related information to the financial system, ensuring accuracy.

4. Prepare the documents/reports required by the Head Office.

5. Perform other job-related duties as assigned.

Job Requirement:

1. Audit background is preferred but not compulsory, fresh graduates are welcome to apply;

2. Bachelor’s degree holder or above;

3. Candidate with Singapore CA, ACCA, or other qualification body member is preferred;

4. Excellent written and verbal communication skills;

5. Proficient in using Microsoft Office Apps, candidate with VBA skills is preferred.

Accounts Executive/Senior Accounts Executive

Job Descriptions:

1. Responsible for preparing the full sets of financial statements for subsidiary companies, ensuring that monthly financial reports and supporting schedules are prepared accurately and in a timely manner.

2. Perform daily accounting and finance duties, including Accounts Receivable, Accounts Payable, General Ledger, tax compliance, and bank reconciliations.

3. Prepare monthly cash flow projections, the annual budget, and ad-hoc forecasts.

4. Prepare statutory filings, including financial statements and tax-related documents (corporate tax and GST).

5. Liaise with the auditors to ensure timely completion of audit and preparation of audited financial statements.

6. Ensure that internal controls are in place.

7. Any other assignments or duties as assigned.

Requirements:

1. A Degree in Accounting with a professional qualification preferred

2. A Minimum of 2-5 years of work experience, preferably in the real estate sector

3. Able to work at least for 1 year contract

4. Strong analytical skills, attention to details, and a high level of integrity

5. Ability to multi-task, handle urgent requests and work in a fast-paced environment

6. Proactive team player with a strong sense of responsibility, commitment, and a "can do" attitude

7. Proficient in Microsoft Excel, Word and PowerPoint; hands-on experience with Microsoft Dynamics (Navision), and Cognos is an advantage

8. Knowledge of Singapore Financial Reporting Standards (SFRS)

9. Flexible, with an inquisitive mind and a strong willingness to learn and take on new finance-related tasks
