Job Description:

1. Provide support to manager on day-to-day work and operations

RESPONSIBILITIES

The Programme Executive primarily implements initiatives and development plans that are congruent with the organisation's goals and the needs of the community.

Programme Implementation

1. Establish links and partnerships with relevant agencies to determine programme requirements and relevance
2. Identify upcoming trends affecting programme's success
3. Follow best practices and new methodologies aimed at enhancing programme impact
4. Follow service framework for programme work plans, resource requirement and budgeting
5. Follow procedures for programmes pertaining to community service
6. Plan and collaborate with other organisations to achieve programme's goals
7. Support Reporting Officer in reviewing the alignment of programme to centre objectives
8. Support Reporting Officer in reviewing effectiveness of programmes

Community Work

1. Implement community outreach event/ Coordinate Roadshows
2. Deliver social work programmes to meet the targeted needs
3. Gather relevant information from different sources
4. Link up of community resources
5. Support the team in rendering services to the community, e.g. home visit, medical escort and others

Volunteer Management

1. Communicate appropriate programme objectives to volunteers as required
2. Provide guidance to volunteers on executing effective programmes
3. Develop growing team of volunteers to support various programmes
4. Network and build relationships with potential partners that have many volunteers
5. Identify and retain committed volunteers

Compliance

1. Consolidate status of KPIs periodically
2. Ensure expenditure is within the budget
3. Ensure KPIs will be met within the timeline as per funding agencies' requirement
4. Support Reporting Officer in preparing monthly/ quarterly/ yearly reports by preparing the relevant and required information

Ad-hoc Duties

1. Provide any other support as assigned/required

Possess Degree in any discipline from an accredited institution

RELEVANT EXPERIENCE:

• Prior experience in events or programmes design, planning and implementation will be an advantage
• Working knowledge of social service practices will be an advantage

Requirement

• Partial (> 3 years experience) / Full set (> 5 years experience) of accounts knowledge
  AP & AR related knowledge and experiences
• GST knowledge

Responsibilities:

Accounts Receivable (AR)

• Prepare and issue invoices to clients, ensuring accuracy and compliance with contractual agreements
• Monitor customer accounts to track outstanding invoices and follow up on overdue payments.
• Communicate with customers to resolve billing discrepancies and answer queries.
• Maintain accurate records of collections, adjustments, and reconciliations for AR accounts.
• Assist with the preparation of weekly and monthly AR reports for management.

Accounts Payable (AP)

• Process vendor invoices, ensuring accuracy and adherence to purchase orders and agreements.
• Review and verify invoices, matching them with purchase orders and packing lists.
• Schedule and prepare payments to suppliers and vendors within agreed terms.
• Reconcile vendor statements, resolve discrepancies, and respond to supplier inquiries.
• Maintain a comprehensive filing system for AP documentation, ensuring easy access and audit compliance.

General Accounting Support

• Assist in month-end closing procedures, ensuring timely submission of relevant financial data.
• Maintain and update financial records, ensuring accuracy and completeness.
• Collaborate with internal departments to streamline accounting processes and resolve payment-related issues.
• Provide support during internal and external audits as needed.
• Contribute to continuous improvement of accounting processes to enhance efficiency and accuracy.
