We are seeking an Officer who will play a pivotal role in supporting the recruitment, training, scheduling, and coordination of volunteers. Aside from impact tracking, he/she also helps to ensure the smooth operations of volunteer programmes including events to enhance engagement and retention.

Key Responsibilities:

· Provide administrative support to the Programme Director and Volunteer Management team

· Maintain accurate and up-to-date records of the volunteer database and programme activities including assignments, training sessions, and community partnerships.

· Assist with budget tracking, financial reporting and volunteer impact reporting.

· Manage volunteer database and records

· Support recruitment, training, supervision, evaluation and assignment of volunteers for streamlined operations.

· Coordinate travel arrangements, event logistics, and meeting schedules for programme staff and volunteers.

· Support the planning and execution of volunteer appreciation events and related activities

· Manage programme-related correspondence, including emails, phone calls, and mail.

· Order and maintain office supplies and equipment as needed.

Requirements:

· Diploma or bachelor's degree in a relevant field, such as business administration or office management.

· Minimum of 2 years of experience in an administrative role, preferably within the nonprofit or legal sectors.

· Strong organisational, communication, and time-management skills, with the ability to multitask and prioritise effectively.

· Good communication and interpersonal skills, with the ability to interact professionally with volunteers, staff and external stakeholders.

· Proficiency in Microsoft Office applications and database management software.

· Familiarity with the legal profession and community organisations is a plus.

RESPONSIBILITIES

Business Continuity Planning:

• Assist in developing and updating business continuity plans to address potential threats to the organization's operations.
• Collaborate with key stakeholders to map critical business processes and establish recovery priorities.
• Support audits to ensure plans are regularly reviewed and updated to reflect changes in operations, technology, or staffing.

Risk Assessment:

• Conduct basic risk assessments under guidance, identifying potential vulnerabilities and proposing improvements.
• Prioritize identified risks and draft actionable recommendations for mitigation.

Emergency Response:

• Develop and oversee emergency response protocols and procedures to ensure a swift and effective response to crises.
• Coordinate with relevant teams to conduct regular drills and simulations for emergency scenarios.

Incident Management:

• Be part of the incident management team, contributing ideas and actions to reduce impact during disruptions.
• Support communication efforts to keep stakeholders informed during incidents.

• Bachelor's degree in business, Risk Management, Management, or a related discipline.

COMPETENCIES (KNOWLEDGE, SKILLS & EXPERIENCE NEEDED FOR THE JOB)

• Minimum 2-3 years in an administrative or operational role, with a focus on BCP preferred.
• Excellent written and verbal communication skills, with the ability to create clear and compelling
• Proficient in MS Office Suite (Word, Excel, PowerPoint).
• Highly organized, detail-oriented, and proactive in managing tasks.
• Team player with a collaborative mindset and strong interpersonal skills.
• Passionate about learning and willing to adapt to a dynamic work environment.
• Any internship or project experience in business continuity, risk management, or related areas is a plus.

Qualifications

• Certificate/Diploma in Accounting
• Minimum 3 years of relevant experience in the areas of accounting
• Construction company background is an added advantage
