Our client is a global US MNC in the IT industry. Due to business needs, they are now recruiting a Logistics Coordinator be part of their Logistics Team for ongoing transformation projects.

Duties of Logistics Coordinator:

• Assist with daily warehouse operations, including picking, packing, and stock management.
• Maintain high accuracy in receiving, picking, and Warehouse Management System (e.g., SAP) processes.
• Monitor and respond to emails and handle general inquiries efficiently.
• Sort and organize inventory in line with established procedures.
• Provide administrative support, including document filing, scanning, and retrieval (e.g., PODs, invoices).
• Conduct regular stock-taking and cycle counting as assigned.
• Ensure punctuality and commitment, including availability for overtime when needed.
• Perform other tasks as directed by supervisors.

Job Description

• Partner with suppliers to confirm timely and efficient delivery of materials and equipment, ensuring alignment with project schedules and requirements.
• Oversee inventory updates, coordinate material handover and takeover processes, and ensure accurate tracking and documentation of all inventory movements.
• Organize and oversee laydown areas to facilitate streamlined storage, accessibility, and handling of materials, optimizing space and reducing retrieval times.
• Maintain high standards of cleanliness, organization, and safety within storage areas, addressing potential hazards and ensuring compliance with safety protocols.
• Oversee the careful handling, labeling, and protection of all materials to prevent damage, deterioration, or contamination.
• Keep accurate maintenance records for all lifting equipment and gear, coordinating routine inspections and maintenance schedules to ensure compliance and safe operation.
• Review and verify the accuracy of all shipping documents from suppliers, ensuring compliance and completeness to avoid delays and discrepancies.
• Request and evaluate freight and transportation quotes, ensuring accuracy and securing the most cost-effective rates for project shipments.
• Collaborate with project teams to develop, plan, and prioritize logistics activities, supporting seamless project timelines and completion.
• Track incoming shipments, verify quantities, conduct inspections, and address any discrepancies or damage with relevant parties.
• Assist in identifying and resolving logistical issues, ensuring timely communication with both internal and external stakeholders to minimize project disruptions.

Requirements

• Diploma/Certificate in Logistics or a related field.
• Minimum of 2 years of relevant logistics experience within the construction industry, preferably with a focus on large-scale or EPC (Engineering, Procurement, and Construction projects.
• Demonstrated proficiency in logistics management, including material handling, equipment coordination, and project-based logistics planning.
• Solid understanding of transportation, warehousing, and inventory management principles, with proven experience in logistics tracking, monitoring, and reporting.
• Familiarity with maintenance scheduling for lifting equipment and gear, as well as compliance with relevant safety and regulatory standards.
• Strong organizational abilities with an aptitude for prioritizing tasks and managing multiple responsibilities efficiently in a dynamic environment.
• Proven ability to identify logistical challenges and develop effective solutions under time constraints.
• Excellent communication skills to foster collaboration with suppliers, project teams, and subcontractors; ability to convey information clearly and resolve conflicts diplomatically.
• Understanding of safety standards and regulatory compliance in the construction industry, including risk assessment and mitigation strategies.
• Flexibility to adjust to changing project needs and work effectively in a fast-paced, deadlinedriven environment.
• Proficient in Incoterms, port and air clearance procedures, and Singapore Customs regulations, including tax and duties requirements.

Job Description

· Tracking and submission of documentation related to material movement (P.O / D.O).

· Update reports on inventory and highlight any discrepancies.

· Verify purchases and storage of inventory.

· Facilitate enquiries with regards to office, equipment and inventory.

· Allocate and direct manpower according to fleet schedule.

· Submission and approval of personnel for clearance matters.

· Generation and verification of temporary passes.

· Ensure timely and accurate submissions of various documents.

· Any other ad-hoc tasks as instructed by Logistics Manager.

Qualifications

· Candidates possess at least a Diploma in Logistics/Supply Chain Management/Construction management/ Transportations or equivalent.

· At least 2 years of fleet management or transportation management experiences, preferably from construction/civil engineering industry.

· Team-oriented approach with excellent interpersonal skills.

· Analytical thinking skills with a solution-oriented mindset.

· Ability to manage fast paced and time sensitive environments.

· Forward-thinking skills, with implementations that will allow the company to excel in the digital age.
