Position: Logistics Admin Assistant

Roles & Responsibilities

· Arrange drivers to assist with site purchase of materials.

· Collection and delivery of materials to site.

· Keep track of shipments from China.

· To liaise with China supplier on arranging container.

· Admin duties, when necessary, as assigned.

Job Requirement

· Minimum GCE 'O/N' Level or equivalent

· Mandarin speaking is a must, as require to liaise with China suppliers.

Job Responsibilities:

• Accountable for strategizing, coordinating, and overseeing the logistics of local deliveries.
• Oversee delivery schedules to ensure timely product delivery.
• Maintain positive relationships with transporters and internal stakeholders.
• Ensure strict adherence to local regulations governing the transportation of Dangerous Goods.
• Identify potential avenues for cost savings in Customer Delivery and propose enhancements to service levels.
• Main point of contact to address and resolve customer complaints.
• Regularly compile and submit comprehensive transport-related KPI reports on a daily, weekly, and monthly basis.
• Thoroughly validate the accuracy of invoices received from transporters. Address any additional ad hoc requests as delegated by the Manager.

Job Requirements:

• Minimum Diploma in Logistics or Supply Chain or equivalent
• Minimum 3 years of relevant experience in Logistics operations.
• Proficient in using Pivot Table & Vlookup
• Ability to work in fast face environment.

Logistics Manager ensures that products, inventory, parts, or people move from one place to another efficiently and cost-effectively. Logistics and supply chain management is a key part of the supply chain, working to plan, control, and implement the storage and flow of products, materials, information, or services. These key employees must manage the transition swiftly and securely while ensuring adherence to pre-set deadlines.

Ensure timely collection and delivery of cargoes. Primary responsibilities • Ensuring timely collection and delivery of cargoes • Ensuring accuracy on job performance • Ensuring proper documentation e.g. delivery notes, pick up orders etc • Ensuring fully compliance for Workplace Safety & Health requirementDuties / Scope of work • Maintain radio communication always. • Timely arrival for delivery of import cargoes. • Timely arrival for collection of export cargoes • Endorsing of permits, carnet at customs checkpoint. • Vehicle maintenance and housekeeping. • Report any vehicle or cargo damage due to accident. • Check, tally and proper handling of cargoes. • Proper handling of company assets and equipment. • Report any cargo discrepancy during course of work. • To check and confirm all documentation e.g. delivery notes, pick up orders etc. • Adhere to safety requirements while on the job. • Report to traffic controller or traffic coordinator immediately if remarks are written on delivery notes by customer. • Documents & COD to be return to traffic control team on the same day. • To check and confirm delivery notes are endorsed & collect back before leaving customers premises. • Take cargo measurements for all export shipment. • To stack and unstack loose cargoes if require. • To load and unload cargoes into vehicle. • To feedback to TC/superior on any issues arise at customers’ premises, for the purpose of information sharing with colleagues (other drivers) • To check and confirm that labels are paste correctly on each carton & the details on the label are correct • To perform any other tasks assignedQualifications • Minimum primary school • Min 2 years experiences in similar field • Class 4 Driving License • Able to work alone and independently • Willing to work long hours

Job Summary

The incumbent will be part of a larger team within the IFF department in providing seamless and customer-focused solutions to support the achievement of business objectives.

What you will be doing

·       Carrier Management

·       Negotiate buying rates to ensure profitability of business

·       Manage the purchasing performance tool within the Department

·       Optimize profitability: Control of bookings through a cockpit, re-purchase when opportunities are identified

·       Escalation points for final validation of DMP (BOLLORE rates approval platform)

·       Work on yield improvement solutions

·       Validation of input for tender bidding

·       Establish guidelines for pricing and procurement in alignment to Middle Office direction

·       Work closely with the sea freight planning team to define and formalize the booking instructions (Routing, Carrier, Schedule) according to customer’s constraints and MO Solutions’ strategy

·       Preform cross-functional collaboration (Business Units, internal customer and pricing) to meet with required information including: Transport mode, price, and transit time

·       Monitor price movements and seasonal price fluctuations

·       Analyze and report on monthly business performance (at GM meeting)

·       Weekly report on vendor management and tasks activities to Head of Sea Freight

·       Design solutions for new products / line by building product strategy with General Manager – Sales

·       Support Vertical / KA managers in marketing / pricing evaluation with economic analyses

·       Provide guidance and correct errors in the company’s internal pricing platform

·       Conduct interviews and recruit junior staff

Team Management

·       Ensure and monitor team compliance to the Bollore’s Code of Conduct and Company’s regulations

·       Ensure team understanding and implementation on Bollore’s Value in daily work behaviors

·       Plan and monitor team performance including give coaching and counselling needed to deliver expected outcomes

·       Plan and monitor team development together with HR Division

·       Ensure updated Job Description availability for the team by coordinating with HR Division

·       Ensure all changes in Department / Section communicated properly to the team

·       Provide support and expertise to MO Operations when needed (e.g. specific quotation requirement)

The successful candidate

·       Bachelor’s degree requirement with min. 10 years of Seafreight experience

·       Minimum 5 years of experience in a fast paced and dynamic multi-cultural MNC environment. In Freight-forwarding or Logistics industry will be a plus.

·       Understanding of margin (yield) management

Responsibilities:

1.Manage and control inventory to ensure accurate stock levels, minimize stockouts, and reduce excess inventory.

2.Analyse Warehouse and Logistics gaps and propose effective and efficient solution to reduce cost and improve efficiency.

3.Understanding and prioritizing customer requirements and ensuring timely and accurate order fulfillment

4.In-charge of budgeting, cost control, and cost reduction strategies to optimize the financial performance of the logistics and warehouse operations.

5.Maintain, manage and interpret data trends in warehouse and logistics operations that can be used to make informed decisions.

6. Manage group of warehouse and logistics team to ensure on time delivery is fulfilled.

Education and skills:

1.At least Polytechnic diploma or degree, with 5 years' experience on warehouse and logistics operation in a fast-paced manufacturing set-up

2, Strong leadership abilities to manage and motivate a team of warehouse staff.

This includes effective communication, problem-solving, and decision-making skills.

3. Exposure on Local and Overseas shipment arrangements

4. Proficiency in inventory control and management to ensure accurate stock levels, minimize stockouts, and reduce excess inventory. Modula experience an advantage.
