This position primarily manages and ensures smooth sales logistics activities and processes that is in accordance with the requirements and standards of the Company, providing full support to the Sales team.

As an independent team player with good communication and interpersonal skills in problem solving, this position handles all sales orders and the delivery processes which includes coordination with the respective internal and external stakeholders, preparation of necessary documentation, and other relevant duties in ensuring a smooth logistics flow.

This position reports directly to the Director(s) and indirectly to the Chief Corporate Officer.

Within the organization, this position has primary working relationships with the other members of the Sales Logistics team, Warehouse, Finance and Sales Teams.

Outside the organization, this position coordinates with the authorities and government agencies such as SFA/NEA as well as freight forwarders, local transporters and suppliers.

Responsibilities

• Ensure smooth order process flow from start to end and rendering full support to the Corporate Sales Team.

Job Description:

SUMMARY

This role under logistics and store department reporting to site director.

Responsible for ensuring effective and efficient supply chain management.

KEY AREAS OF RESPONSIBILITY:

1. Responsible for creating and implementing best practices for logistics processes.

2. Able to plan, manage and evaluate logistic requirements of different stakeholders.

3. Responsible for liaising / negotiating with shipper, agents / forwarders for movement of shipment through air / sea freight (import / export).

4. Responsible for co-ordinating and maintaining good relations with vendors / customers and arranging delivery.

5. Responsible for establishing and managing incoming and outbound procurement and distribution / shipping schedules.

6. Responsible for preparing of Delivery orders, packing list and Commercial Invoices.

7. Responsible for monitoring and timely payments of all duties and taxes.

8. Able to undertake packing / dispatch of shipments as per outlined specifications and carefully handling of stock items.

9. Responsible for ensuring all documents are received / issued and filed.

10. Responsible for updating the logistic documents in accounting software and other systems.

11. Responsible for procuring and ordering regular stock items.

12. Responsible for monitoring the stock re-order levels.

13. Responsible for safe handling of inventory.

14. Ensure appropriate warehouse safety measures are adhered.

ADDITIONAL DUTIES:

1. Responsible for daily & monthly MIS reports to the stakeholders on regular basis and as per the requests by the concerned department as and when required.

2. Develop and maintain strong relationships with internal and external stakeholders to ensure optimal performance.

3. As may be assigned by the management from time to time.

REQUIREMENTS:

• Minimum 3-4 years’ logistics management experience from marine industry

• Familiar with freight rates negotiation and cost comparison

• Stock management, replenishment, and schedule planning experience.

• Diploma in supply chain or equivalent working experience in related field

• good planning skills that able to plan and meet deadlines

• Proficient in using ZOHO or other software.

• Occasionally support during weekends or public holidays might require.

1. Schedule and deploy assessors for job assignment 1 to 3 months ahead

2. Coordination with sales team for any ad-hoc job assignments

3. Liaison with stakeholders on job assignment scheduling and confirmation

4. Flow job assignment details to assessors in timely manner

5. Optimize monthly utilization rate for assessors

6. Complete weekly and/or monthly reports to stakeholders

7. Monitoring of submission reports by assessors

8. Any other duties as assigned by management

Roles & Responsibilities

• Update monthly and weekly reports:
• Financial (billing of the operation, monitor deviations & improve reliability, support customer on cost controlling request)
• Operational (KPI, improvement of reporting accuracy, reporting of productivity, consistency)

Requirements

• Bachelor/Master of Science in Supply Chain Management
• Strong in data crunching and analysis
• Excellent command of Excel and Access, SQL queries and database management structure
• Basic knowledge in lean management, Six Sigma, 5S
• Good communication skills

Daily maintenance of warehouse operation and team management in the warehouse, manage daily work to complete daily delivery as per schedule

Guide and plan daily work for all warehouse assistants daily on operation requirements.

• Daily planning of work schedule for warehouse operation
• Priorities and monitor all warehouse assistants to complete their daily work( picker and packer)
• Ensure warehouse operating supplies (Carton, wrapping and essential material for warehouse use ) are good for warehouse operational use on weekly and monthly basic
• Assist in return items and goods. (reverse logistic process) Finish return procedure timely.
• Cooperate with operation and purchaser department for smooth good delivery.
• Assist in planning for a shift in relation to overtime planning
• Involve in the suggestion of ERP analysis and design and update
• Where opportunity allows,marking/order should be complete well in advance by 2 days

Job Description:

• Focus on order processing, order fulfillment till delivery in promptly and accurately manner (3PL).
• Acknowledge customers’ email on queries/feedback/order placement within one working day.
• Follow up with customers to ensure high level satisfaction and determining future requirements.
• Ensure that customer’s complaints/feedback are well investigated, resolved, and escalating the complaints/ feedbacks aptly to Senior and working with Regulatory & QSHE swiftly & independently.
• Ensure the availability of certificate of analysis/compliance, applying inspection status.
• Prepare, generate and disseminate customer’s reports on timely and accurately manner.
• Collecting and sustaining sales data and database of customer contacts.
• Maintain good filing and retrieval system to ensure easy access of work documents, when needed
