Key Responsibilities

• Collaborate with team members for daily operations
• Oversee trucking activities to meet delivery requirements
• Assign Prime Mover drivers for trucking tasks
• Ensure drivers complete safety checklists to prevent accidents
• Track truck and delivery status for optimal resource use
• Communicate customer requirements to Prime Mover drivers
• Handle CMS/CTR bookings
• Use Portnet and manage shipping documents
• Coordinate with workshops for vehicle repairs and maintenance
• Perform other duties as assigned by Management

For our Singapore office, we are looking for a Junior Logistics & Administration.

Your responsibilities on logistics:

• Collaborate closely with Foreign Trade Executives and the Sales Team to achieve optimal outcomes for all stakeholders.
• Coordinate logistics with freight forwarders and service providers.
• Prepare shipment advisories for suppliers and customers.
• Raise invoices, packing lists, process shipping documents, and ensure timely and accurate delivery of shipping documents to customers.
• Maintain professional relationships with customers and suppliers.
• Keep internal records up to date.
• Arrange payments to suppliers and service providers.
• Coordinate with the Finance Department on invoicing and payment matters.
• Monitor and track customers' payment statuses.

Your responsibilities in administration:

• Resolve issues related to office internet, printers, lighting, etc.
• Order stationery, pantry items, and water.
• Open the letterbox and handle incoming mail/courier services.
• Answer phone calls and direct inquiries appropriately.
• Back up the server on a monthly basis.
• Decorate the office for the festive seasons.
• Manage exhibition-related tasks, including name cards, brochures, booth inquiries, setup, decoration, dismantling, and delivery.
• Assist with sending birthday emails, organizing team-building activities, planning Christmas events, etc.
• Help organize archived files/documents and prepare for a new financial year.

The Role

The Operations Executive is responsible for day-to-day warehouse operations, as well as the development of the line management team.

• Lead a team of supervisors and assistants/contractors in their daily work activities to ensure smooth delivery operations
• Achieve smooth execution for various functions such as, customer accounts handling with zero complaints, and operating warehouse operation at cost-saving with maximum productivity and great efficiency
• Maintain inventory physical stock and keeping track of damaged goods at 100% accuracy, and escalate unresolved discrepancies/ issues to immediate superior for further actions
• Practice and engage safe work procedures, identify potential hazards, and recommend improvements to standard procedures
• Take charge of monitoring and taking disciplinary actions on subordinates with poor performance and attendance
• Any ad-hoc tasks as assigned

About You

• Diploma/Degree in Logistics Management, Supply Chain, or a related field
• Min. 2 years of experience in handling logistics and warehouse activities
• Familiar with Warehouse Management Systems will be an advantage
• Proficient in MS Office – Excel/PowerPoint/Word
• Good leadership abilities to motivate and manage the team effectively
• Excellent communication skills to collaborate with the internal team, external vendors, and stakeholders
