Job Scope:

• Prepare and process invoices, purchase orders, and other administrative paperwork.
• Maintain proper records of transactions.
• Coordinate with clients, suppliers, and internal teams to ensure smooth operations.

• Working day 5 days ( Monday to Friday 9:00 am to 6:00PM )

Requirements:

• Diploma in accountancy, finance or HR related fields.
• Proven experience in an administrative or office support role.
• Strong organizational skills and attention to detail.
• Proficiency in Microsoft Office (Word, Excel, Outlook) and other office software.
• Good verbal and written communication skills.
• Ability to multitask and work efficiently in a fast-paced environment.
• Familiarity with refrigeration or construction industries is a plus but not mandatory.

The ideal candidate is adaptable and skilled at prioritizing tasks in a fast-paced environment. This role requires a meticulous individual with excellent communication skills, a knack for problem-solving, and the ability to handle confidential information with discretion.

Responsibilities:

• Manage and maintain the executive team's calendars, schedule appointments, and arrange meetings.
• Coordinate travel arrangements, including flight bookings, accommodation, and itinerary preparation.
• Prepare and organize materials for meetings, presentations, and conferences.
• Draft, review, and manage correspondence, reports, and documentation on behalf of the executive team.
• Handle day-to-day administrative functions, including filing, data entry, and document management.
• Manage expenses and handle budgeting tasks for the executive team.
• Oversee the office supply inventory and ensure the office is well-maintained and fully stocked.
• Act as a liaison between the executive team and internal/external stakeholders.
• Assist in drafting internal and external communications and correspondence.
• Facilitate efficient communication within the team and ensure timely responses to emails and messages.
• Support the executive team in planning and executing special projects and company initiatives.
• Track progress on various projects, ensuring deadlines are met and key deliverables are completed.
• Conduct research and prepare reports as required by the executives.

Requirements:

• Bachelor’s degree in business administration, Communications, or a related field preferred.
• Experience: Minimum of 3 years of experience as an executive assistant or in a similar role preferably in a multinational organization.
• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent written and verbal communication skills.
• Highly organized, with a keen attention to detail.
• Ability to manage multiple tasks, prioritize workload, and meet deadlines.
• Discretion and confidentiality in handling sensitive information.
