Our client a freight forwarding company established in China with 11 strong years of market presence. They specialize in e-commerce and traditional freight, handling about 15,000 tons of airfreight per month.
The ideal candidate is adaptable and skilled at prioritizing tasks in a fast-paced environment. This role requires a meticulous individual with excellent communication skills, a knack for problem-solving, and the ability to handle confidential information with discretion.
Responsibilities:
- Manage and maintain the executive team's calendars, schedule appointments, and arrange meetings.
- Coordinate travel arrangements, including flight bookings, accommodation, and itinerary preparation.
- Prepare and organize materials for meetings, presentations, and conferences.
- Draft, review, and manage correspondence, reports, and documentation on behalf of the executive team.
- Handle day-to-day administrative functions, including filing, data entry, and document management.
- Manage expenses and handle budgeting tasks for the executive team.
- Oversee the office supply inventory and ensure the office is well-maintained and fully stocked.
- Act as a liaison between the executive team and internal/external stakeholders.
- Assist in drafting internal and external communications and correspondence.
- Facilitate efficient communication within the team and ensure timely responses to emails and messages.
- Support the executive team in planning and executing special projects and company initiatives.
- Track progress on various projects, ensuring deadlines are met and key deliverables are completed.
- Conduct research and prepare reports as required by the executives.
Requirements:
- Bachelor’s degree in business administration, Communications, or a related field preferred.
- Experience: Minimum of 3 years of experience as an executive assistant or in a similar role preferably in a multinational organization.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Highly organized, with a keen attention to detail.
- Ability to manage multiple tasks, prioritize workload, and meet deadlines.
- Discretion and confidentiality in handling sensitive information.
