Nature and Scope
The Warehouse Executive is responsible for the efficient management of the warehouse
operations, including inventory control, inbound and outbound delivery activities, and
assisting the Warehouse Manager with day-to-day operational activities to ensure timely
and accurate receipt, storage and dispatch of goods while maintaining a safe and
organised working environment.
Key Responsibilities:
1) Inventory Management:
- Accurately maintain inventory records and ensure that all items are properly
labeled and stored in their designated locations.
- To conduct regular stock counts and reconcile physical stock with inventory
records.
- Manage and organize the storage of stocks to optimize space and minimize
damage.
- Monitor stock levels and report any discrepancies or low stock levels to the
Warehouse Manager.
2) Inbound Management:
- To receive and check all incoming goods from both local and imported vendors.
Verify the quantity and condition of goods received, cross-checking with delivery
documentation, i.e. packing list / delivery note (DN).
- Safely unload incoming shipments from trucks or containers, ensuring that goods
are handled with care to avoid damage or accidents.
- Report any discrepancies, damages, or missing items to all the relevant internal
departments involved.
- Ensure that all incoming stocks are accurately recorded in the warehouse
inventory system.
- To organize and store the incoming materials at the designated and allocated
location bins.
3) Outbound Management:
- Manage the picking and packing process for outbound deliveries, ensuring
accuracy and efficiency.
- To prepare and pack the picked items securely according to the documents (e.g.
delivery note) using appropriate materials to prevent damage during transit.
- Ensure that all outbound shipments are properly documented, including the
packing list, delivery notes, and pallet labels.
- Oversee the loading of outbound shipments onto transport vehicles, ensuring
that all products are handled with care.
4) Warehouse Operations:
- To implement and maintain warehouse safety standards, ensuring that the
warehouse is clean, organised, and free of hazards.
- To operate and familiarise the warehouse management system according to the
company’s policy and procedures.
- To assist the Warehouse Manager in day to day planning and operation.
- To supervise and assigning of work to staffs for all daily activities to ensure
smooth operation flow of the warehouse.
- To optimize the layout of the warehouse to improve efficiency and workflow.
- To coordinate, support and assist Kimgres operation and sales staff in meeting
the customer requirements and ensuring customer satisfaction.
- To carry out any tasks assigned by management from time to time.
5) Warehouse Maintenance and Safety
- To conduct regular inspections of the warehouse to maintain a clean, organized,
and safe working environment within the warehouse.
- To ensure that all warehouse equipment, such as forklifts and pallet jacks, is
maintained and used properly.
- To utilise and maintaining of equipment, materials and facilities to ensure minimal
cost.
- To report any maintenance issues or safety hazards to the Warehouse Manager.
- To implement and adhere to safety procedures in order for a safe and healthy
working environment.
6) Documentation and Reporting:
- To maintain accurate and up-to-date records of all warehouse transactions,
including receipts, issues, and returns.
- To generate daily, weekly, and monthly reports on stock levels, stock movements
and other relevant warehouse activities.
- To record all relevant documents such as delivery notes, invoices, cargo receipts
timely and accurately.
