Executive Conference Lead

Overall Role

The Executive Conference Lead plays a pivotal role in providing authentic service experiences that bonds the relationship between JLL, our client and their guest.

As the first point of contact at Reception they are specialized in welcoming C-Suite employees at the executive floor and their guest / clients with genuine hospitality and thoughtful services. GRA’s maintain smooth operations by providing state of the art service support and execution of duties to the highest standards.

Duties & responsibilities

What this job involves –

Site Operations

  • Strategize and oversee seamless end-to-end conference executive suite operationalization, governing top notch hospitality experience
  • Create a comfortable, welcoming and hospitable experience for C-Suite employees at the executive floor employees and their guest.
  • Boost agility in the workplace by managing up-to-date VVIP / visitor information.
  • Host and succeed VVIPs and their guest throughout their visit to ensure highest level of hospitality
  • Curate menu to help plan & support request required by BUs and ensure requirement are met at high standards
  • Manage end-to-end communications & process throughout request / feedback from the team
  • Support special events by Managing server & Tea ladies managing F&B for C-Suite employees & VVIPs
  • Vendor management to provide first class consumables to enhance space for clients

Customer Services

  • Foster a sense of community and create happiness at work for our team, our client and their guest.
  • Creating a welcoming environment for C-suite guest, VVIPs, internal & external customers by providing authentic, caring and timely service.
  • Govern and train team members to showcase and represent high level of hospitality while running the space
  • Ensure grooming guidelines are set to ensure brand consistency

Visitor Management

  • Provide personable and seamless visitor registration services for the C-suite and VVIP guests
  • Creating welcome packs for VVIP guest / visitors
  • Plan and execute F&B during meetings and conferences with Server and Tea Ladies
  • Ensure regulatory compliance in managing visitor access through clients Visitor Management Systems (VMS).
  • Enhance safety and security of our client’s facility by management of visitor movement.
  • Execute emergency response plan to ensure safety of client and guest when necessary.

Concierge Services

  • Act as the bridge to concierge services with local expertise and insider knowledge.
  • Manage transportations request from visitors and employees.

Conference Meeting Room Booking

  • Assist & educate client to achieve optimization and efficiency for meeting room bookings.
  • Enhance user comfort and services by efficient turnaround of meeting rooms.
  • Plan experiences and community events with team members within and beyond the office, that unite people and inject fun into the workplace.

Candidate Specification

Experience

  • 5-years’ experience in Hospitality/ F&B or Tourism sector or related professional area (Must have experience in airlines and hotel industry)
  • Managed high profile management team (e.g., C-suite & VVIPS)
  • Prior experience to manage meeting room services is an advantage
  • Diploma from an accredited institute

Task Skills

  • Proficiency with Microsoft Word, Excel and PowerPoint.
  • Good command of verbal and written English
  • Proactive mindset and ability to manage C-suite and VVIP personnel’s
  • Knowledge of food handling and white glove service skills are essential

Personal Skills

  • Ability to meet tight schedules and deliver high quality of work
  • High level of communication and interpersonal skills
  • Good Grooming throughout the day to ensure professionalism
