Job Description
The company is growing our sales division. We are looking for a Sales-Coordinator who is passionate about servicing customers to join our team.
You will:
· Provide sales team with administrative support.
· Identify and assess customers’ needs to achieve satisfaction.
· Build sustainable relationships and trust with customer through open and interactive communication.
· Handle customer complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution.
· Keep records of customer interactions, process customer accounts and file documents.
· Take the extra mile to delight customers.
Roles and Responsibility
Sales Function
· Attend and respond to all incoming sales enquiries by telephone and emails quickly and efficiently.
· Provide professional service and advice to customers pertaining to products and pricing matters.
· Attend to customers’ feedback and assisting customers to provide effective solutions.
· Serve as the primary point of contact for customers to ensure prompt resolution of raised issues and proactively manage client accounts.
· Promote our products to new and existing clients through a pro-active approach.
· Assisting with vendor pre-qualification when necessary.
· Cultivate and maintain strong relationships with customers.
· Consolidating and providing of documents and samples for customers as required.
· Escalate and address customer concerns promptly, ensuring timely issue resolution.
· Actively participate in various customer-related activities, including sales, customer service, billing, legal, operations, pricing, marketing, etc.
· Prepare and follow up on any sales quotation made for clients, negotiate terms with the client at a cost best suited for them.
· Assist in preparation of sales quotations and tenders for submission to clients.
· Maintaining close communication with customers, internal departments, and supply chain teams to ensure timely fulfilment of orders.
· To always liaise with all team members and work as a team to achieve total customer satisfaction.
· Perform adequately for any other ad-hoc duties & sales related support assigned by your superior.
· Participates in training activities to improve knowledge and skills.
Logistics Coordination
· Coordinate delivery of goods with internal logistic department and prepare delivery documents.
· Coordinate with internal operation team on delivery schedule or resolve arising issues in a timely manner.
Administrative Function
· All aspects of sales administrative duties.
· Prepare weekly and monthly sales report.
· Regularly update Standard Operating Procedures (SOPs) and share best practices with team members.
· Coordinate with intercompany/suppliers/vendors to arrange shipments.
· Processing of sales orders, prepare order confirmation and enter the orders into our in-house system.
· Assisting with sales documentation management
· Ensure timely invoicing to customers and proper collection of payment.
Job File Management
· Maintain accurate documentation and filing.
· To update the files in the databases with detailed and accurate information.
· Support to Sales Team on catalogue & manuals.
· Follow-up closely with suppliers with updated information on products.
We are looking for someone with:
· Minimum Diploma or equivalent.
· Fresh graduate may apply.
· Proven customer support experience with focus on delighting customers.
· Familiarity with CRM systems and practices.
· Ability to start and get things done in a fast-paced environment
· A team player who works effectively in a team-based organisation, collaborates cross-functionally, and builds support and alignment around goals and objectives.
· Good customer service communication skills and able to speak and write clearly.
· Able to maintains collaborative working relationships with colleagues, supervisors, and managers.
· Outgoing, cheerful, and self-motivated.
· Good organization skills.
· Willing to pick up basic product technical skills.
· Knowledge in Microsoft Office (Excel, Word, PowerPoint. Outlook, etc).
