Duties and Responsibilities:
- Provide administrative support to the Marketing and Sales team, which includes tasks such as preparing marketing and sales reports, processing sales orders, maintaining databases, printing menus and gift certificates, managing correspondence, and organising sales materials.
- Coordinate with various departments, such as operations, food and beverage, property maintenance, procurement, and customer service, to ensure smooth event operations. This includes updating and disseminating the daily event list, managing the venue booking calendar, preparing event signage, and coordinating event logistics (including audio-visual equipment, decorations, banquet furniture, and other-event related services.)
- Assist in the preparation of event orders, ensuring that all internal stakeholders have a clear understanding of the event requirements, timeline, and specific instructions.
- Liaise with external vendors and suppliers to secure service quotes for catering, decorations, and equipment rentals, and ensure timely delivery of the requested services.
- Maintain accurate sales records of guest bookings and event details. Ensure proper documentation and timely completion of administrative tasks related to events and sales activities.
- Any other duties as assigned by the management.
Qualifications, Knowledge & Experience:
- Minimum 'O' Level
- Proficient in Microsoft Office suite, including Excel, Word and Powerpoint
- Resourceful with good attention to details
- Good interpersonal, communication and organisational skills.
- Customer-orientated with a pleasant and outgoing disposition.
