Senior Executive, Events Management

This position is under the Communication & Marketing (COMM) department which is part of the Strategic Partnership and Engagement (SPE). The candidate will be in the events team supporting the various University and SPE events, including SUSS Convocation, and contributing towards the SPE strategic thrust.



Job Description:



Convocation and Scholarship Ceremony:


•Support the SUSS Convocation ceremonies, especially in the following areas:

  • Logistics preparations.
  • Graduand attendance to the ceremonies.
  • Supporting the selection and video production of the graduates’ and Valedictorians’ videos.
  • Review and update SUSS Convocation website.
  • Overseeing the role-based email account and replying to graduands enquiries in a timely manner.
  • Onsite IC for the entire Convocation.

• Support the SUSS Convocation Dinner, especially in guest invitations and logistics preparations, and coordinator for guest registration for the dinner.

• Involve in the planning and execution of the SUSS Scholarship Ceremony.


Other University and SPE events:


•Involve in various ah-hoc university and SPE related events, including:

  • Planning and execution of the events.
  • Conceptualisation of design work related to the events.
  • Involvement in video production where necessary, and which includes generating ideas, scripting videos, editing and graphics to create compelling videos from concept to delivery.
  • Liaising with vendors to ensure smooth execution of events.
  • Working closely with the COMM team to ensure good publicity for the events.
  • Collaborate with internal and external stakeholders involved in the events.

•Assist in conducting pre- and post-evaluations and support the implementation of improvement initiatives.


Admin


•Involvement in admin matters pertaining to SPE and COMMS, including budget preparations, asset management, purchase requisitions, website support and other activities when required.

•Support in any other matters/projects that may require assistance from time to time.


Requirements:

  • At least 3 years of relevant working experience, especially in areas of event management. Experience in organising graduation ceremonies or in communications and marketing would be an advantage.
  • Proficient in Microsoft applications. Proficiency in graphic design software would be an advantage.
  • Outstanding interpersonal and communication skills with cultural sensitivity towards students of different cultural and educational backgrounds.
  • Resourceful, analytical, meticulous and excellent organisational skills.
  • Strong ability to manage multiple priorities with professionalism and deliver quality results in a timely manner.
  • Strong sense of responsibility and positive working attitude.
  • Able to work independently and as a team player.
  • Able to work extended hours when required to support the preparations for the events involved.
  • Always observe a code of strict confidentiality.
