Job Description

A) Student Administration

⦁ Manage or assist to manage and streamline specific student administration activities and processes, such as:

  • Design Your Own Module Applications
  • Exam Processing
  • Fee Waiver Appeals
  • Medals and Prizes
  • Official Statistics
  • S/U Option Declaration Exercise
  • Student Academic Standing, Candidature, Examination and Record Matters

Duties include (i) preparing implementation schedules, documentation and materials, (ii) briefing and liasing with faculty administrators, (iii) preparing, maintaining, enhancing and testing of IT systems supporting the activity/process, (iv) troubleshooting and resolving issues, (v) data preparation, verification and cleansing, (vi) running necessary processes, (vii) attending to enquiries, and (viii) reporting to management etc.
⦁ Supporting the student enquiry mailbox.
⦁ Be a Facilty Liaison Officer advising faculties on undergraduate and graduate student administration, and academic policies and processes.

B) Other Duties

⦁ Prepare and review work manuals, correspondences, print and online publicity materials, forms, regular and ad-hoc reports etc. related to the scope of work.
⦁ Liaise with other University departments and units, and relevant external parties such as government departments, on academic and student policies and procedures
⦁ Perform other administrative duties, and participate in regular and ad-hoc projects as assigned, including:

  • Examination duty and venue administration during examination periods.
  • Commencement duty during Commencement periods and ceremonies.
  • Serving as a member/secretary on any academic/administrative policy/system committee.

Qualifications

⦁ University degree
⦁ Relevant work experience in an educational environment is preferred
⦁ Proficient in MS Office applications
⦁ Experience in / Exposure to the following will be a definite advantage: - PeopleSoft Campus Solutions modules (particularly, Campus Community, Student Records, and Campus Self-Service)
⦁ Excellent communication (oral and written) skills
⦁ Organised and able to work well under pressure and with tight deadlines
⦁ Team player with good problem-solving and critical-thinking skills.
