This position offers a balanced work schedule of five days a week, Monday through Friday, from 9:00 AM to 6:00 PM. The Bar Administrator is responsible for the efficient and effective management of all aspects of the bar operations. This role involves overseeing the day-to-day administration, maintaining inventory, ensuring compliance with regulations, and maintaining records of purchases and sales and assisting in event planning.
DUTIES AND RESPONSIBILITIES
· To handle confidential and classified material and ensure to keep the code of confidentiality at all times and maintain professional etiquette and discretion
· Vetting, keying in, and approving of orders into the Material Control System (MC) for the Purchasing Team to process.
· Receiving and checking on stocks delivered. Allocation of the correct requested stocks and quantity for outlet(s).
· Last line of flagging out any wrong or irregularities of delivered stocks.
· Issuing of stock to outlets.
· Vetting, posting in and booking on all daily Wastages and Transfers into MC.
· Securing and up keeping of back of-house storage areas, ensuring optimal storage conditions on all perishables at back end.
· Perform ad hoc request for costing, inventory and miscellaneous reports pertaining to Beverage data on MC.
· Working with HODs, on Recipe Management, Up keeping and creation of POS recipes and keys on systems.
· Performing daily inventory accuracy and variance checks to support month end inventory processes and performing monthly variance reconciliation reporting.
· Establish and maintain professional and effective communication throughout the venue.
· Understands and abides by all safety rules, emergency procedures and fire prevention regulations.
· Participates in any scheduled training and development program that may improve personal or departmental standards.
Administration
· Maintains all documentation related to Food & Beverage audits
· Responsible for managing the ordering process with knowledge of the daily inventory on hand at different outlets to prevent excess ordering, when sometimes an internal transfer is preferred than placement of new orders.
· Ordering – Club, Kiosk, Sky Bar and Restaurant orders, MOQs
· Timesoft – Scheduling
· MICROS- Recipes, linkage, POS key Creation ETC
· Oracle Analysis – Sales, Etc, brunch report
Requirements
1. Have at least 1-year of experience in a similar scope
2. Proficient in Microsoft Excel.
3. Good knowledge of Micros (POS) and Material Control.
4. Proficient in MS Office, Micros, Material Control System (MC)
5. Be able to manage tight datelines and be flexible about his/her work requirements/demands.
6. Be flexible, firm yet friendly and approachable.
7. Have excellent spoken and written English.
8. Be willing to learn.
9. 5 day work week, 9 am to 6 pm, able to start within short notice.
10. Projects a professional outlook and can-do attitude. Must be discreet and maintain confidentiality on information that he/she comes across in the course of his/her work.
