Office Manager

Chartered Investment Managers Pte. Ltd.

Provide secretarial support to CEO

· Manage travel bookings, hotel bookings, visa application

· Arrange meetings for business trips, Tele-conferences and meeting venues.

· Manage records of all CEO's credit card expense and reconcile with bank statement

· Preparing meeting materials

· Managing calendar appointments

· Personal matters (IE: CEO's maid visa / insurance application, other family matters)

· All other miscellaneous duties


Human resource duties

· All work pass application & renewal

· Applications for work pass / dependant pass holders to return to Singapore

· Source, view and finalize tenancy agreement for expats.

· Handle handover of accommodation to property agent / landlord upon expiration of tenancy agreement.

· Payroll and claims on QuickHR

· Recruitment and termination (including overseeing handovers)

· Employment contracts

· All other miscellaneous HR duties


Administrative duties

· Review and renewal of corporate contracts with telco companies (Corporate Internet, mobile lines and office lines)

· Road Tax and Car Insurance for Company car, Office Rental contract and office printer machine

· Annual preparation of calendars for client (checking of all calendars + bonds, packing and delivery / mailing)

· Manage pantry and office stationery supplies

· Arranging courier services (local / Fedex/ DHL) and normal mailing (Post office)

· Receiving and sorting through all mails

· Organize annual company trip and year end party for staff

· All other miscellaneous Admin duties


IT support

· Basic IT support to other employees within Singapore and overseas rep office

· Main contact person with external IT support on advance IT issues (Server related), file access and any maintenance for laptops.
· Creation and in charge of all email accounts for office, management of office subscriptions for staff
· Technical Support for all zoom webinars and zoom meetings.
