About the Role
The Supervisor reports to the Executive/ Assistant Contract Manager/ Contract Manager and is responsible for his/ her subordinates who are the Senior Facility Services Specialist, Facility Services Specialist, housekeepers, project staff and team leader.
Job Responsibilities
- Project a professional image at all times.
- Practice Greet, Smile and Thank (GST) patients, staff and all who come into contact.
- Ensure the team complies with grooming standards and adhere on Health & Safety requirements in respect of uniforms and safety work practices as well as procedures to provide a clean, safe working environment.
- Check and update daily attendance of staff reporting for duty and deploy staff to respective area and ensure that all areas are adequately manned.
- Conduct daily briefing and provide reminders and to ensure that staff are up to date with daily information and instructions.
- Conduct daily inspections of all areas including rooms under supervision to ensure that all Environmental Services assignments are carried through.
- Coordinate fault reporting and repairs between ward staff, housekeepers and FME department. Troubleshoot equipment malfunctions.
- Review and ensure completion of maintenance cleaning requests is completed within the specified standards, and within the agreed time frame and frequency.
- Ensure that staff supervised is issued with appropriate tools and equipment in excellent working condition to undertake their duties.
- Check and update records of cleaning materials such as bath mats and mops submitted by housekeepers. Ensure sufficient stocks at all times.
- Check daily reports (e.g. FSS Daily Reports, Housekeepers Daily Worksheet, Turnover Time, etc) and follow up accordingly.
- Keep track on overtime performed by housekeepers, calculate and submit the details to admin office (payroll) for processing and payment (twice monthly)
- Prepare and maintain records of staff supervised (i.e. timesheets, tasks records, materials and clothing issues, etc).
- Prepare and submit daily/ weekly/ monthly reports and customer feedback records.
- Coach and train staff in need so that their performance would meet standards stipulated.
- Conduct performance appraisal, recommend for promotion or increment for deserving staff.
- Enforce safety rules and regulations. Promptly report accidents/ incidents to the superior without delay.
- Coordinate customers’ feedback and requests and ensure that there is a follow up to the complaints and requests.
- Conduct patient satisfaction interviews with patients.
- Attend and participate in staff meetings and training to keep track with changes in cleaning procedures and disseminate such information to staff under supervision.
- Undertake any duties/ projects, etc as and when requested by the Assistant Contract Manager/ Contract Manager.
Job Requirements
- Secondary School Education or closely related field with minimum 3 or more years of supervisory experiences with emphasis on complete cleaning in a hospital environment, large facility services industry or large commercial contracts.
- Candidates without the above minimum requirements on education but with relevant experiences can be considered for the position.
- Ability to thrive in a fast-paced challenging hospital environment and with the ability to organize, manage, supervising a small group of staff for facility services projects.
- Require long periods of standing, walking, bending when inspection of walk and ability to follow oral instructions, read and comprehend written instructions to carry out assignments.
- Knowledge of training of buffer, vacuum, shampooer and other cleaning activities will be an added advantage.
- Able to commit to 6 days work week(Rotating off day) | 7.30am - 3.45pm or 1.15pm - 9.30pm(Rotating shift).
