We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the Group Chairman. This role requires exceptional attention to detail, discretion, and the ability to manage a diverse range of tasks in a fast-paced corporate environment. The successful candidate will play a pivotal role in ensuring the Chairman's office functions seamlessly and will contribute to the overall efficiency and effectiveness of the executive leadership team.
Key Responsibilities:
- Efficiently manage and coordinate the Chairman's calendar, including scheduling appointments, meetings, and conferences.
- Act as the primary point of contact for internal and external communications directed to the Chairman.
- Arrange and coordinate logistics for meetings, ensuring all necessary materials and resources are prepared in advance.
- Attend meetings as required, take accurate minutes, and follow up on action items.
- Manage complex travel itineraries, including flight bookings, hotel accommodations, and ground transportation. Provide detailed travel agendas and ensure the Chairman's travel needs are met seamlessly.
- Handle sensitive information with the utmost confidentiality and discretion. Maintain a high level of professionalism in dealing with confidential matters.
- Organize and maintain electronic and hard copy files, ensuring accessibility and accuracy of information. Assist in document preparation, formatting, and distribution.
- Build and maintain positive relationships with key internal and external stakeholders. Serve as a liaison between the Chairman and various departments within the organization.
- Undertake special projects as assigned by the Chairman, demonstrating adaptability and a proactive approach.
Qualifications and Skills:
- Bachelor's degree in Business Administration, Management, or a related field.
- Proven experience as an Executive Assistant or similar role supporting top-level executives.
- Exceptional organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite and other relevant software.
- Ability to work independently, exercise sound judgment, and prioritize effectively.
- High level of integrity, professionalism, and confidentiality.
