Key Responsibilities:
Office Coordination:
• Oversee and support all administrative duties in the office and ensure that the office is operating smoothly.
• Manage office supplies inventory and place orders as necessary.
Communication:
• Manage phone calls and correspondence (email, letters, packages, etc.)
• Facilitate internal communication to improve work processes and team collaboration.
Schedule Management:
• Manage employee schedules, appointments, and travel arrangements.
• Assist in planning and arranging events, including organizing catering.
Record Keeping:
• Maintain records and databases, ensuring all administrative records are accurate and up-to-date.
• Implement effective filing systems and maintain updated records of office expenses and costs.
Customer Service:
• Welcome visitors and guide them correctly; answer queries by employees and clients.
• Improve customer service procedures, policies, and standards for the department or organization.
Team Support:
• Assist team members with various tasks as necessary, providing support to ensure work is completed efficiently.
• Coordinate with other departments to ensure compliance with established policies and office consistency.
