Job Summary
This role is reporting to the Operations Head.
The successful candidate will ensure vessels are tracked and followed through and liaise with suppliers/buyers on cargo readiness, LC & cargo documentation to ensure smooth cargo operations, in accordance with contracts. The successful candidate will need to send contracts to counter parties and ensuring confirmation or acknowledgement received from them. In addition, handle and manage all shipping documents and all necessary documents for L/C application and bank negotiation.
The successful candidate will have direct working exposure with the Operations Head and strong developmental opportunities in the role. You will need to have close interaction with multiple stakeholders in the company in order to deliver for this role.
Scope of work and responsibilities
- Ensure contracts are executed in accordance to the terms in the agreed contract for all purchase and sale transactions.
- Ensure agreed-form LCs are received from buyer and issued to supplier prior to vessel arrival.
- To co-ordinate, handle, and manage timely issuance of accurate cargo & shipping documents (including e.g., B/L, invoice, packing list, certificate of origin, certificate of weight and quality) .
- To prepare documents for LC application and LC negotiation. Liaise with banks for timely issuance of import LC and timely negotiation of export LC.
- To liaise with suppliers/buyers on cargo readiness, documentation and payment matters.
- To liaise with shipping agencies on shipping arrangements, vessel schedules and vessel tracking.
- To work with the accounts department to monitor incoming funds and outgoing payment.
- To calculate lay time and demurrage/dispatch settlement.
- Initiate invoicing for cargo and LTC settlement
- Ensure contracts, shipment schedules and invoicing activities are recorded into CTM System promptly within policy guidelines.
- Safekeep original contracts and trade documentation
- Participate in operational& process improvement projects from time to time.
Qualifications
- Min 3 year of working experience in commodity industry handling dry bulk trading operations.
- Experience in Coal trading operations is a preferred for this role
- Good L/C knowledge is essential to this role
- Excellent communications and interpersonal skills
- Meticulous and self-motivated with positive attitude
- Multi-tasking, can work independently, able to handle pressures and tight deadlines especially cargo loadings during weekends/holidays.
- Good understanding of requirements in trade execution in a trading environment.
- Well knowledge of UCP600 &ISBP; Comprehensive knowledge of shipping and international practices i.e., C/P terms, lay time calculations, BL requirements, insurance, etc.
