ADMINISTRATIVE ASSISTANT

M'power Consultancy & Manpower Services Pte. Ltd.

General Office Work:

a) Attending telephone calls and updating the Person-in-Charge.

b) Attending to the visitors to GEPMC Office (Courier, MOM, etc).

c) Filing and maintaining ALL office documents.

d) To receive, record, filing of suppliers’ invoices, SOA.

e) Record all the quotation lists and payment status.

f) To follow-up with supplier for missing invoices via telephone or by email

g) To verify supplier invoices against GEPMC PO or approved quotation.

h) To ensure all supplier invoices are supported with GEPMC PO or service report.

i) Arranging for supplier’s payments by 30 (or) 60 days basis.

j) To follow-up with ORIGINAL invoice after ADVANCE Payment made for PROFORMA invoice to Supplier.

k) To record, file all GEPMC invoices.

l) To record remittances from Customers.

m) To check your record against GEPMC SOA before email to customers' monthly SOA.

n) To follow-up with O/S payments from Customers.

o) Assisting staff with Petty Cash Claims for miscellaneous expenses.

p) Assisting with Managers with Ad-hoc office work.

q) Recording of receipts, print and email to Accountant.

r) Checking the Quarterly GST Report against the office record.

s) Preparation of Invoice & DO by using Online Software (Training will be provided).

t) Prepare and update staff appointment letters and any other letters.

u) Staff leave monitoring

a) Assisting Senior Staff with Ad-Hoc admin work (non-specific).

b) Assisting with deploying workers.

c) Assisting with following up with GEPMC PO or Supplier’s Quotation etc.

d) Assisting with worker timesheet calculation.

e) Vehicle management.

f) MOM documents update, filing, monitoring.

g) Preparation of Invoice & DO by using Online Software (Training will be provided).

Working Hours:

(Monday- Saturday) (08:30am – 05:30pm)
