You will be working for a reputable market leader in the financial services industry who is looking for a Executive Assistant to be based in Singapore. With demand increasing, it is seeking to expand and grow a team of people who have a strong passion to be the change driver.
Your new role
This is an individual contributor role supporting the General Manager which mainly covers secretarial job scope.
1) Management Office Support
· Assist and provide secretarial support to the Management (General Manager and Deputy General Manager).
· Liaise with M&C Services and handle ACRA related matters (e.g. Amendment to Articles of incorporation; registration/ de-registration of Head Office directors, etc.)
· Maintain the general filing system and file all correspondence pertaining to management office.
· Assist in preparation of monthly meeting, compile, transcribe, and distribute minutes of meetings.
· Coordinate travel arrangements: prepare itineraries and perform other necessary reporting procedures to head office for senior management.
2) Head Office related issues
· Responsible for recording, distribution, filing and retrieving of all incoming and outgoing corporate documents and correspondence to and from Head Office.
· Liaising with Head Office for all arrangement on delegates, visitors and training groups (hotel bookings, itinerary planning, souvenirs, restaurant bookings, etc.)
· Liaising with Head Office for arrangements on expatriates’ matters (Preparation of document on new posting and repatriation of expatriate, employment contacts, promotion, ticketing matters, hotel and housing arrangement, and other miscellaneous issues.
3) Office administration
· In charge of record and maintenance of gift items, corporate gifts purchased / received.
· BCP Team Member for HR & Admin Department.
· Coverage of the reception duties as required in the absence of the receptionist.
4) HR related issues
· Team member in organizing bank and/or staff events.
· Assist in the administration of staff benefits and staff wellness program.
Qualification and experience required:
• Bachelor's degree
• Minimum of 8-10 years of experience in Executive Secretary
• Exceptional command of English and Mandarin proficiency to liaise with stakeholders based in China
• Able to work independently and strong stakeholder management skills
