Job Summary

The Admin & Publicity Executive Officer in the Fundraising Department holds a pivotal role in advancing MTFA's fundraising initiatives. This role encompasses a blend of publicity and administrative responsibilities, focused mainly on enhancing fundraising efforts through effective communication strategies and meticulous administrative management. The ideal candidate will be adept at liaising with stakeholders, donor relations, handling inquiries related to fundraising activities, and ensuring the smooth operation of fundraising events and campaigns.

Key Responsibilities

  • Address and respond to inquiries related to fundraising activities promptly and professionally.
  • Assist in coordinating and executing fundraising assignments by liaising with relevant stakeholders and managing comprehensive administrative tasks.
  • Oversee the preparation and timely submission of required documents to pertinent authorities or bodies.
  • Coordinate logistics, including transportation and communication with external parties, ensuring smooth operations during fundraising events.
  • Document minutes during meetings diligently and prepare comprehensive reports summarising discussions and decisions made.
  • Generate and maintain accurate and up-to-date reports pertaining to fundraising efforts, helping in tracking progress and identifying areas of improvement.
  • Actively contribute to quality management and data protection initiatives, ensuring compliance with regulations and safeguarding stakeholders' interests.
  • Manage financial transactions related to fundraising activities with accuracy and integrity.
  • Assist in procurement processes and maintain an organised inventory of fundraising materials, ensuring availability and readiness for upcoming events.

Qualifications

  • A diploma or degree in Business Administration, Public Relations, Sales or a related field.
  • A minimum of 1-2 years of experience in a role involving fundraising, administrative work, or publicity management.
  • Proficiency in Microsoft Office Suite, particularly in generating reports and documenting minutes.
  • Experience with financial management and inventory control systems is an advantage.

  • Strong administrative skills with an ability to manage multiple tasks efficiently.
  • Excellent communication skills, capable of fostering positive relations with various stakeholders.
  • Detail-oriented approach, ensuring accuracy and compliance in all administrative and financial processes.
  • Ability to generate insightful reports, aiding in strategic decision-making processes.
  • Initiative and a proactive stance in identifying opportunities for improving fundraising efforts and administrative processes.

Reporting Structure

The Publicity Executive Officer will be an integral member of the fundraising department, reporting directly to the Fundraising Manager, with collaborative engagements across various departments.

Working Conditions

  • Office Hours: 8:30 am - 5:30 pm
  • Office Location: 5 Mattar Road
  • Flexibility for remote work engagements, in accordance with MTFA's remote work policy.
