Faculty Secretary
Responsibilities include:
Teaching and Learning and Staff Professional Growth
Assist the Assistant Principal (Teaching and Learning, Professional Growth and Development) in supporting the professional development of staff
- Administrative and logistical support for internal staff training throughout the term, and for whole school planning days at the beginning of each term.
- Register staff for external training, including liaising with external providers to find the best option for staff and the school with regard to dates and costs.
- Administrative and logistical support for feedback from staff on their external training, including surveys and analysis of results.
- Administrative support for the staff professional growth programme, including analysis of staff enquiry questions, administration of student surveys and 360 reviews.
- Administrative and logistical support for the coaching programme, teaching and learning mentors programme and the Lasalle Training Institute.
- Administrative support with new staff induction, including organising training for new staff and communicating with incoming staff before their arrival.
- Administrative and logistical support for professional development offered by SJII to other schools, including liaising with other schools in the region.
- General administrative support (for Assistant Principal)
Administrative Support for Interview Processes
- Administrative and logistical support for the interviewing of new staff. This will include liaising with candidates to arrange suitable times for interviews, clearly communicating this to all stakeholders and keeping digital records of interviews.
- Upload interview notes
- Send rejection emails to unsuccessful candidates.
General administrative support for Curriculum Leaders (HOF, HOD and Coordinators) and Teachers
- Reprographics / Displays & laminating / Scanning/upkeep of noticeboards
- Sending cohort emails /keeping spreadsheets of parental purchases e.g calculators
- Book meetings and associated logistics as required
- Logistical support for events
- Preparation of purchase request documents
- Booking of central spaces
- Data entry into SIMS
- Type up or take minutes of meetings
- Money collection for competitions
- Organise Faculty Resources [Hard Copy and Soft Copy]
- Certificates for achievement printing linked to book awards.
- Compiling a booklist for the year and coordinating with the bookseller and arranging collection by students and parents. logistics booking
Others
- Cover for the other Faculty Secretary in his/her absence
Requirements:
- Possess at least a diploma or GCE ‘O’ level certificate
- Experience in an admin support role within a school (ideally) or company.
- Demonstrated ability to work to meet short and long term deadlines.
- Demonstrated ability to work in a calm and professional manner in stressful situations.
- Must be able to spend at least 80% of work time sitting and using standard desktop computing equipment.
- Must be able to work in an open office environment with moderate noise levels and frequent interruptions.
- Must be able to work during normal business hours and occasional overtime to meet deadlines.
