Main responsibilities
Supply Coordination
· Ensure continuous communication on the availability and lead times of products with all stakeholders in the logistics chain in relation to the order at hand, including:
o Purchasing & Supply Chain teams
o Customer Service
o Warehouse staff
o Transport service operators (internal & 3rd party providers)
o Expeditors (including customs clearance specialists)
· Continuous follow up on quotes (freight, delivery, duties) and orders with sub-status ‘Awaiting approval’ within the IFS ERP system
Order Fulfilment
· Liaise with customer service to ensure orders are processed and shipped to customers timely.
· Liaise with logistic and warehousing to ensure timely picking/packing/labelling and delivery of orders.
· Liaise with Supply Planning team to ensure optimum product availability in warehouse and order fulfilment.
· Assist team leader and management with any special projects assigned and provide backup to the team when necessary.
· Work within agreed service levels, striving to exceed customer expectations whenever possible.
· Communicate discrepancies/issues to team leader when necessary.
Operational Purchasing
• Follow up with suppliers in order to meet agreed and confirmed delivery dates; per purchase order and includes updating of purchase orders accordingly
• Support Finance when needed on supplier invoice control, hereunder approval of and discrepancies attached to Supplier invoices
• Pro-actively monitor increase or decrease in demand of products and advise/verify with Purchasing/Supply team members
Inventory Management
• Communicate and cooperate with Purchasing & Supply Planner(s) to ensure availability meets local demand (in scope: mature standard products, for products subject to introduction and end of life-cycle see separate bullets)
• Support the execution of stock reshuffle, i.e. consolidation of inventories through re-shuffling actions within own Region or recommendations of such when potential is across Regions
• Support the Purchasing & Supply Planner(s) in re-order to inventory, validating results for reasonableness and re-ordering according to defined distribution models and in line with demand and forecasts available
Stewardship
• Actively participate in any structured and results-driven process to improve inventory efficiency over time
• Create and maintenance all basic data attached to - and important for - order processing and re-ordering (service levels, preferred suppliers, lead-times and other inputs required)
• Responsible to ensure that practices at all times comply with the regulatory approvals, permits and certification for all products and services within the defined quality, labour conditions, health, safety & environmental systems, procedures and business practices of the organisation
