Our client is in Marine Sector located in the West zone fo Singapore.
Reporting to the CEO, you will be rendering business support to the regional heads of the Regional Business and Operations Department (RBOD) and providing secretarial and administrative support to the CEO.
Candidates are expected to:-
RBOD – Business Support
Render business support to the regional heads of RBOD which includes, and not limited to, the following:
• Assist in commercial tender or project bid submissions;
• Assist in market research by creating and managing market database, collecting, organizing and analyzing business statistics;
• Assist to prepare marketing and communications materials which includes, and not limited to, video production, branding and social media features;
• Assist to prepare presentation slides;
• Prepare monthly management reports for overseas businesses;
• Plan, propose and implement events/programs, including client visits to the company - planning the itinerary, liaising with internal and external stakeholders and logistical arrangements; and
• Provide administrative support to the department which includes, and not limited to, travel and logistical support, raising purchase requisitions, process invoices for payment and other tasks assigned.
CEO’s Office - Executive Support
Provide secretarial and administrative support to the CEO which includes, and not limited to, the following:
• Be the primary point of contact and liaison between the CEO and the internal and external stakeholders;
• Manage the CEO's calendar, schedule appointments, coordinate meetings which include collating meeting papers/presentations from the relevant stakeholders;
• Manage CEO’s contacts list, including sending out seasonal greetings and corporate gifts; and
• Arrange CEO’s travel itineraries, including flights, accommodations, and logistical support and submit expense claims on his behalf.
Requirement
The ideal candidate should preferably:-
• Possess at least a Diploma/Degree preferably in Business Administration or related field;
• At least 3 years of working experience in secretary and/or corporate support role;
• Must have experience in Business Support (>50%)
• Able to handle sensitive information and documents with utmost discretion and maintain confidentiality;
• Proficient in Microsoft Office applications, which includes and not limited to, Powerpoint, Prezi and Keynote;
• Excellent interpersonal skills to liaise with internal and external stakeholders;
• Good command of written and spoken language and communications skills;
• Good business writing skills to prepare business reports and/or presentation slides to Senior Management and Board level;
• Able to work independently and as part of a team;
• Detail-oriented and able to multi-task in a fast-paced environment; and
• Works well under pressure.
