Accounts Receivable Executive (6 months contract)

XCL World Academy is seeking to recruit a Accounts Receivable Executive (6 months contract) to support the Accounts department, which holds high standards in maintaining accurate records and reconciliation of all accounts of XCL World Academy & XCL American Academy.

The successful incumbent should be able to commence from Jan 2024. He/she is to ensure compliance with internal and external audit processes and book keepings of both schools.


Main Responsibilities

  • Ensure invoicing is processed on time and accurately for school fees as per the invoicing timeline. Effectively liaise with the registrar department to ensure invoices are sent to students with signed student contracts.
  • Issue receipts for fees collected via cash/bank transfer/cheque/ online and make trips to the bank to deposit the fees collected and process bank reconciliation on a weekly basis.
  • Analyse revenue and costing for other incomes for each month-end process and review the concession postings.
  • Knowledge in FRS 115 revenue recognition and ensuring our income recognition is harmonised with the standards.
  • Review and post month-end revenue entries and identify and highlight if any discrepancies are found.
  • Reconciliation of Student Numbers with Class student list and Admissions department.
  • Ensuring compliance with CPE requirements in consultation with the Registrar department for fee refund.
  • Monitor and collect payment follow-ups with parents and companies.
  • Maintain accounts receivable records to ensure ageing is up to date, credits and collections are applied, uncollectible amounts are accounted for, and miscellaneous differences are cleared.
  • Proactively identify default payments by implementing corrective actions.
  • Preparation of monthly MIS template for Revenue, Debtors and Concession, passing of recurring entry, and preparing cash flow and monthly schedules.
  • Preparation and Maintenance of schedule for P&L, Balance sheet and GL Account as part of Month end processes.
  • Supporting other ad hoc activities such as preparation and filing for Quarterly GST for Income, assisting in Internal and statutory audits, Year-end budget and assisting in improving internal processes and procedures.
  • Perform any other duties as requested by direct or dotted reporting line managers.

Person Specifications

  • Minimum Diploma/Degree in Accountancy, Business Management, or other relevant fields.
  • 3-5 years of work experience in Accounting or related Business.
  • Familiarity with basic accounting principles & comfortable managing high volume of manual data in multiple systems.
  • Positive mindset and excellent interpersonal and communication skills to work alongside other staff from various departments.
  • Possess data entry skills and actively participate in weekly meetings to provide updates.
  • Understanding the latest Changes in Financial Reporting Standards FRS 115 and Singapore Tax Rules and the implication for the company.
  • Strong Character and integrity with the ability to work independently as well as in a team.
  • Possess excellent time management and attention to detail.
  • Proficient in using Microsoft Excel with a specific focus on Pivot, Vlook up & Sum if and experience with formatting summary reports, Phoenix, Microsoft Dynamics, and Oracle NetSuite.
  • Prior experience in using ISAMS, Managebac and Open Apply.
  • Respond to inquiries promptly, able to work under pressure with tight deadlines and able to complete work beyond hours on occasion.
