Purpose and Scope
- Provide secretarial and administrative support to the Head, Asset Management (SG)
Key Roles and Responsibilities
- Co-ordinate and schedule all appointments and meetings in a timely fashion.
- Update of meetings in calendaring for appointments via applicable MS Office apps and company platforms.
- Maintain proper filing, correspondence and records in a systematic way.
- Plan and organize internal and external meetings (e.g. coordinate appointments / meetings, conference calls, booking of meeting rooms, refreshment and equipment).
- Inventory management of supplies (e.g. office stationery, copier papers, print cartridges, and pantry supplies).
- Organize and manage the routine calendar and also establish appointment priorities or reschedule appointments / invitation.
- Prepare and process all expense claims (e.g. travel and entertainment expenses and medical claims) accurately and ensure prompt submission of the claims.
- Handle travel arrangement which include booking of airline tickets and accommodation, preparing travel itinerary, visa application and car transfers (e.g. Business trip / Seminars / Training).
- Handle logistics for business trips and meetings.
- Coordinate with training center for staff to enroll courses and attend seminars.
- Apply visitor / contractor entry permits to Jurong Island and promptly notify Security.
- Managing operation procurement requests, service entry sheet and invoice verification.
- Coordinate with cross-functions departments for internal communications or new system roll out.
Qualifications & Experience
- Diploma graduate with minimum 5 to 8 years’ of experience in providing administrative support for senior management.
