Job Description & Requirements
You will be a member of the staff reporting to the Executive Director (ED). Your roles and responsibilities will include but not limited to:
Office Administration:
• Procurement of office supplies and equipment.
• Vendors management; Liaise with vendors (IT, facilities, cleaning, suppliers) on quotations, repair and maintenance work.
• Staff equipping (laptop, door access, email account, name cards).
• Filing of documents and general administrative duties.
• Handle day-to-day administrative duties of the organisation.
• Manage quarterly newsletter.
• Social media management.
Secretariat Support:
• Handle phone calls, walk in and online enquiries.
• Grants and funding applications.
• Prepare and submit reports.
• Assist ED to coordinate meetings and taking minutes.
• Attend Board Meetings with ED and prepare required documents and presentations.
• Keep track and organise the calendars and schedules of ED, and provide timely reminders
• Prepares and photocopies of correspondence, notices and any other materials.
• Research, prepare and handle ad-hoc projects.
• Handle sensitive information in a confidential manner.
Undertake any other duties as assigned.
• Minimum Diploma holder
• Minimum 3 years of working experience, preferably in administrative function.
• Proficient in desktop operating system and good knowledge of Microsoft Office.
• Good knowledge of using social media platforms.
• Ability to track multiple ongoing assignments meticulously, and to meet tight
deadlines while remaining flexible and adaptable.
• Ability to work independently and resourcefully in a team.
• Possess good interpersonal and communication skills.
