Position Overview
The People Services Advisor, ANZ is an integral part of the Regional People Services team and is primarily responsible for delivery of all Tier 2 employee life-cycle processes and general HR services for the Australia & New Zealand market, with additional support for North Asia (China, Hong Kong & Taiwan). This role partners closely with the People Consulting team, COE, Facilities, IT, Legal, Finance, Procurement, Vendors, etc. to deliver a great employee experience and ensuring the HR processes are well-oiled for compliance, effectiveness, and efficiency. The People Services Advisor acts as a local subject matter expert in the areas of HR Operations, Benefits Administration, HR Compliance, Statutory Reporting and Vendor Management and brings rich experience in all of these work areas. In addition, when operational challenges occur, the People Services Advisor will supervise the root cause analysis and monitor progress of follow up actions.
Responsibilities
- Work with the People Services Manager on operational and tactical plan/roadmap for Australia and New Zealand HR Operations
- Additional coverage for North Asia HR Operations (China, Hong Kong & Taiwan)
- Be the point of contact for enquiries/service request routing from Tier 1 and a senior member of the local services team
- Provide coaching and cross-training to Tier 1 on case management and for support on ad hoc HR Program rolled out
- Work closely with the People Service Manager and People Consultants to ensure a smooth transition on local issues and ensure clarity on when the team should hand over or escalate enquiries
- Responsible for the hire to retire process, ensuring a seamless onboarding and offboarding experience
- Support in ensuring payroll inputs accuracy, reliability, confidentiality, timeliness and completeness. Key stakeholder to the Payroll team
- Manage the benefit administration, including but not limited to benefits escalation management, benefits contracts renewals/ review, documentation, invoicing & payments
- Work with third-party vendors to monitor SLA achievements and employee experience for all local administration of benefits and providing feedback & suggestions to COE for improvement as needed
- Drive local employee communication in partnership with People Consulting & COE
- Ensure HR reporting is compliant with country required statutory and regulatory reporting and is done on a timely basis (e.g. Gender Equality Survey)
- Accountable for the country audit exercise and partner with auditors for the exercise in identifying and mitigating potential gaps and risks
- Well-versed with statutory leave requirements in ANZ and provide advisory on leave administration.
- Keep abreast of regulatory changes and recommend changes to procedures and policies. Key stakeholder to the People Consultant team and COE
- Manage the Work Cover renewal process in ANZ and familiar with the Work Cover claim process
- Arrange the annual Workplace Assessment for Australia and work closely with Safety and Security Manager on the assessment
- Be the point of expert guidance/escalation or contact for all local government agencies/labor authorities for any HR related matters
- Partner and support in regional and global People programs/projects through the provision of country requirements and involvement in User Acceptance Testing
- Support local or regional program setup as required independently or jointly with People Consulting & COE, engaging relevant stakeholders in theprocess
- Accountability of up-to-date SOPs, local HR policies, guidelines, and internal documentation, ensuring quality assurance
Minimum Qualifications
- Experience working in a multi-national environment, and fast-moving services businesses with a Shared Service model or a mix of decentralized and centralized HR Operating models is advantageous
- Minimum of 5 years of experience in HR Operations
- Familiarity of PPL functions and processes across at least one functional area of Human Resources which may include Operations, Benefits, Compliance or Payroll
- Forward thinking, proactive, driven, innovative, agile and resourceful team player who is also able to work independently under high pressure situations and complex issues
- High levels of discretion, confidentiality, and ability to exercise sound judgement (demonstrate critical thinking) and decision making
- Strong capability to build trusted relationships, and manage stakeholders across a matrixed environment
- Ability to interpret complex situations/documents, follow through and attention to detail
- Passionate about identifying opportunities for continuous improvement, providing recommendations on suggested approaches
- Excellent technical skills (Excel, Word,), as well as experience of HR systems such as Workday and supporting tools such as Service Now and Darwin
