Job Description
(I) Construction Project Office Administrator Scope
- Provide project administrative support and coordinate with the project stakeholders.
- Execute general administrative and clerical activities and support daily operations.
- Maintain, procure and monitor the project site office supplies such as stationaries, pantries and refreshments and office cleaning materials.
- Prepare and process purchase requisitions for office supplies and any other necessary materials needed.
- Sourcing, procurement and maintenance of project filing and documentation.
- Upkeep and maintain Admin related store items.
- Prepare payment claims for site office purchases.
- In-charge of the petty cash claims for the project site expenses.
- Prepare and process the training nomination for staff and retain records / training matrix.
- Assist project team to communicate matters to external stakeholder like suppliers, consultants and service providers.
- Arrangement of project site transportation and project site events and ceremonies.
- Responsible for project admin correspondences and transmittal documents.
- Dealing, handling and resolving conflicts, feedbacks, complaints pertaining to the contract and perform the duties of Public Relations Officer (PRO) as required.
- Other ad-hoc task assigned by Line Manager.
(II) EHS Administrator Scope:
- Overall responsible and in-charge of daily EHS administration works & operations.
- In-charge of the safety incentive slides preparation and compilation of all safety supporting documents. Supporting EHS Team in presentation to Client.
- Assisting EHS Team in coordinating with EHS related matters such as arranging meeting invites, meeting rooms, etc.
- Assisting in Safety Induction Course by providing SIC forms, SIC stickers, schedule information and security passes.
- Assisting in purchasing of EHS materials and supplies.
- Supporting the EHS team in any documentation related matters.
- Maintaining of SIC Summary Log, Vehicle Registry and PTW Registry.
- Assisting the team in control of EHS records.
- Supporting the EHS Team in any EHS activities to be carried out and to communicate EHS matters to external stakeholder like suppliers, consultants and service providers.
- In-charge of purchase, monitoring and distribution of PPE to all project staff and workers.
- Coordinating with project staff, visitors and sub-contractors for site access and vehicle pass.
- Upkeep and maintain EHS store items.
Requreiments
- Bachelor’s Degree / Diploma in administrative or business related is preferred, but not essential.
- At least 3 years working experience in administrative duties, experience in construction project site is essential.
- Proficient in use of computer and MS Office application.
- Good interpersonal skills and ability to communicate in English both written and verbal.
- Good command of Mandarin is preferred, but not essential.
- Computer literate / experienced in Microsoft Office (Excel, Word and Power Point).
- Proactive, flexible, with a can do attitude and ability to work in a multi-national and multi-cultural team.
- Required to work full time on project site in Tuas South, Singapore.
