ADMINSTRATIVE ASSISTANT

We are a local manufacturing company with factory facilities in China and offices in Singapore, Australia and New Zealand.

We are currently looking for an Administrative Assistant to work with our COO and Business Development Manager. The incumbent is required to also work closely with our China colleagues.


Job Description:

To provide administrative support to ensure efficient operation of the department through a variety of tasks related to organization and communication. Ability to effectively communicate in English and Mandarin to ensure all duties are completed accurately and delivered with high quality and in a timely manner. May have to direct and lead the work of others and rely on experience and judgement to plan and accomplish goals with a wide degree of creativity and latitude is expected.


Responsibilities:

1) Organize and schedule sales contract, work orders and shipment list with China colleagues to ensure fast and efficient service to customers;

2) Assist in the preparation of regularly scheduled reports;

3) Develop and maintain an efficient filing system;

4) Handle multiple projects;

5) Liaise closely with China colleagues to maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies;

6) Contribute to team effort by accomplishing related results as needed;

7) Carry out administrative duties such as filing, typing, copying, scanning, etc;

8) Oversee and supervise the work of junior staff.


Requirements:

1) Proven administrative experience and understanding of export documentation;

2) Knowledge of office management systems and procedures;

3) Excellent time management skills and ability to multi-tasks and prioritize work;

4) Attention to detail and problem solving skills;

5) Strong organizational and planning skills;

6) Proficient in MS Office;

7) Diploma or equivalent.
