As a Customer Service Officer cum Clinic Assistant, you will play a pivotal role in ensuring the seamless daily operations of our TCM clinic. Your responsibilities encompass a wide range of tasks, including patient management, administrative duties, customer service, therapy support, and maintaining the clinic's overall cleanliness and organization.
Major Responsibilities:
Patient Management and Administrative Tasks:
· Handle patient registration, file retrieval, and create new patient records.
· Schedule follow-up appointments for patients and provide appointment reminders.
· Process payments, issue receipts, and maintain accurate daily sales reports.
Data Management:
· Update treatment / product lists and other relevant reports accurately and promptly.
Customer Service:
· Professionally and promptly address customer inquiries, feedback, and complaints through various communication channels.
· Deliver exceptional customer service, fostering positive relationships with all clients.
Therapeutic Support:
· Assisting in therapy sessions as required.
· Assisting TCM Physicians to provide care, treatment, therapy and consultation to patients.
Consultation and Sales:
· Engage with customers to discuss treatment courses and products, making suitable recommendations and delivering excellent service and sales support.
Laundry and Maintenance:
· Handle the laundry and folding of towels and clothing.
· Maintain the cleanliness and tidiness of the reception, customer waiting areas, and pantry.
· Sanitization of treatment rooms and clinic.
Inventory Management:
· Conduct regular stock-taking (at a minimum on a monthly basis) to ensure that clinic supplies are adequately stocked.
Marketing and Engagement:
· Participate in marketing initiatives, including interactions with KOLs to promote the clinic's services.
· Participate in all marketing initiatives, promotional road shows, trade fairs, corporate events, demonstration programs, health talks and any events. Internally and externally.
