Position Objective:


The Executive - Bid and Tender is an organized, social, and diligent staff with the ability to hunt for suitable opportunities via Procurement Portals such as Ariba, GeBiz, Sesami, TenderBoard, etc. He / She can evaluate information quickly and direct them to relevant stakeholders, etc. He / she is self-motivated and a good communicator who will be the main point of contact for PERSOLKELLY Singapore and shall provide support services that will enhance PERSOLKELLY’s sales (business) and proposals to both internal and external clients locally and regionally if required.


Responsibilities:

  • Assist in end-to-end bidding pursuit process, i.e. co-ordinate, plan and gather bid submission documents for tendering activities, tender questionnaires, etc.
  • Examine incoming tenders and note down tender details.
  • Send potential tender to internal business units, highlighting key information, a summary of tender specs, a tender closing date and time, etc.
  • Follow up with stakeholders on their tender participation by the indicated participation deadline.
  • Gather tender information and references from various sources for the proposal.
  • Perform effective engagement with stakeholders, clients, internal business units, etc.
  • Ensure bid proposals adhere to finance and legal guidelines, etc.
  • Ensure that tender submissions meet the client's tender requirements.
  • Facilitate all bid-related meetings and presentation rehearsals.
  • Provide the necessary support for internal business units to perform bid presentations to clients.
  • Respond to client queries and contract matters.
  • Update the database and track participation and non-participation of opportunities.
  • Monitor and ensure that tender submission due dates are strictly adhered to.
  • Tracking of existing contract expiry and informing the respective business unit to make the necessary preparation for contract renewals, etc.
  • Any other duties as assigned by management


Requirements:

  • Degree and/or post-graduate qualifications.
  • Minimum 2–5 years of experience in handling tenders or contracts
  • Knowledge of Microsoft Office, especially Word, Excel Spreadsheets, and PowerPoint
