Job Description


Candidate will be the main person-in-charge (PIC) for administering and providing support for HR processes within the assigned scope. Main scope for the position is to manage HR system and operations related processes, administering rotating staff (expatriates), compensation and benefits, onboarding and exit of employees and other annual exercises as described below. Candidate will be reporting to the Senior Manager of HR.


HR System and Rotating Staff (RS) Administration (40%)


• Update and maintain data of employees in the HRIS, ensures data accuracy of entries.
• File and maintain e-personnel documents in an organized manner under the shared folders and HRIS.
• Coordinate employment cycle related activities such as confirmations, benefit updates after confirmations, addition of dependent insurance, exit interviews etc.
• Administer the leave module under HRIS such as maintaining accurate leave records, crediting compensation leave, administering leave carry forward process according to company policy and legislative requirements.
• Provide leave balance for Finance and Accounting team’s provisioning.
• Coordinate confirmations and benefit updates after confirmations, probation extensions etc.
• Submit work pass application, renewals, and updates on MOM platform on a timely basis.
• Administer RS related items such as claim reimbursement, facilitate accommodation arrangement, preparing reports relating to RS remuneration / accommodation for monthly updates to the Finance and Accounting team.
• Answer enquiries pertaining to HR guidelines and policies.

Payroll (20%)


• Prepare data for payroll according to monthly updates and changes. Facilitate the payroll process and ensure timely submission to the payroll vendor.
• Prepare required reports and follow up with stakeholders on approvals.
• Administer and file for government grants such as maternity, paternity, childcare and reservist leave etc.
• Prepare data for annual employee income tax declaration with the support of tax agent and payroll vendor.

Administrative support (20%)


• Create disbursement instructions for claims and invoices using ProMaster and SAP GBS systems.
• Prepare updates for monthly organization chart.
• Prepare letters such as certification of employment, confirmation letters etc.
• Track latest HR related news and share intelligence with the team.
• Extract data from HRIS (HR system) and prepare reports and surveys as required.

Ad-hoc and team cover (20%)


• Cover duties of senior officer team member while away such as onboarding/offboarding preparations, coordinating recruitment and training arrangements etc.
• Ad-hoc support for department projects and events


Job Requirement


• Possesses a degree, preferably with specialization in HR
• Minimally 3-5 years of relevant HR generalist experience especially familiarity with payroll, expatriate management.
Advance proficiency in Microsoft suite of programs, especially Microsoft Excel, must be proficient in VLOOKUP and Pivot table.
• Good number sense.
• Able to manage tasks independently and takes initiative to seek support when unsure.
• Good communication skills and situational awareness
• Able to manage timelines of tasks and handle stress well
• Japanese communication skills is a plus to facilitate communication with Japan counterpart
• Team player, Flexible
• Has good cultural awareness and sensitivity
• Good sense of Business ethics e.g., knowing when to keep information confidential
