Purchasing & Logistics Executive

ROLE PURPOSE (Why do we need this role?)

To attend to all purchasing requests promptly with the best price in order to provide operational and technical purchasing support to vessels and/or logistical support to 3rd party clients.


Operations Purchasing

  • Deal with assigned vessels on a daily basis and liaising with accounts, purchasing, Technical and other relevant departments on operational requirements.Contact and follow up with vendors/contractors on quotations and issue purchase orders in ORBIS/SAP/In-house apps for services.
  • Track TDW vessels shipments in/out of warehouse and coordinate with forwarding agents and transport companies for shipments delivery to shipyards/ jetty for vessels.
  • Liaise with agents.
  • Gather feedback from vessels on vendor’s performance and the quality of goods supplied.
  • Check and verify invoices for spares/stores and services against Orbis/SAP/in-house app prior to submission to the Operations Manager for approval.
  • Respond, prioritise and action as appropriate on urgent issues, phone calls and emails from the vessels and charterers.

General Warehouse Management

  • Ensure that safe work practices, site safety rules, particularly regarding the use and operation of warehouse handling and lifting equipment, manual handling and equipment storage and protection and all Standard Operating procedures are strictly adhered to at all times in warehouse activities.
  • Report on any non-conformance in warehouse operations, ensure corrective actions are taken and, where applicable, introduce into warehouse standard operating procedures.
  • Ensure that correct working locations, from receipt through consolidation, shipping and storage, including floor, rack and bay loadings are developed, maintained and strictly adhered to in all warehouse activities.
  • Maintain records and schedules for all required inspections and certifications on the facility’s operating equipment, forklifts and other lifting equipment, safety equipment, etc. and promptly remedy any issues arising during inspections.
  • Perform condition maintenance on long-term storage materials as required.
  • Perform routine facility and equipment housekeeping duties.

Other Duties

  • Assist the General Manager/Technical Superintendents with administrative work when required.
  • Perform other duties that may be assigned from time to time including follow-up on service request details.

Qualifications

  • Degree in Supply Chain Management, Logistics, or a related field and a minimum of 3 years of experience, OR 7 years of relevant experience.
  • Adapt to a fast-moving environment and work against a short lead time.
  • Work as an individual contributor and team player when required.
  • Experience in an offshore marine environment would be an advantage.
  • Experience with vendor management, negotiation and contracts
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure and handle multiple projects simultaneously while maintaining attention to details.
  • Proficiency in Microsoft Office and knowledge of logistics software.
